Job Summary

Performs administrative assistant duties for the Director of Athletics. Performs most duties on an independent and unsupervised basis.

Essential Functions
  • Assist the Director of Athletics with day-to-day organization and operations.Assist the Assistant Athletic Director with all business operations pertaining to the Department of Athletics.
  • Coordinate transportation requests for the Department of Athletics in conjunction with the Assistant Athletic Director.
  • Responsible for filing and organization of all paperwork pertaining to the department of athletics including all business transactions, contracts, and compliance paperwork.
  • Prepare work orders to notify Facilities Management of and not limited to lighting, plumbing, heating and cleaning.
  • Sorts and distributes all incoming mail.
  • Prepare all key requests for full time athletic department staff members.
  • Knows and utilizes campus resources and has contact with individuals from across campus, including Academic Affairs, Admission, Advising, Conference and Event Services, Business and Finance, Equity & Inclusion, Information Services, Institutional Advancement, Marketing and Communications, Student Affairs, and Registration and Records.
  • Assists with specific Blue and White Club correspondence and activities, i.e. Hall of Fame, membership requests and renewals, golf outing.
  • Uses online scheduler (e.g., Outlook) to coordinate School events and schedule meetings, including virtual meetings (e.g., Zoom, Teams, etc.).
  • Demonstrates proficiency in all relevant university applications for administrative work (e.g., Self-Service, EMS, etc.), engages in ongoing training to learn new applications and updates, and supervises professional development in these areas for all reports with ongoing assessment and feedback.
  • Endorses and supports other areas within the Division of Student Affairs.
  • Demonstrates a strong commitment to continuous improvement.
  • Supports mission, vision and values of Elmhurst University.

  • Performs other duties as assigned.
Minimum Qualifications
  • Proficient with Microsoft Office suite.
  • Proficient with tech applications and willing to learn campus applications.
  • Strong written communication skills.
  • Ability to analyze and synthesize data.
  • Professional public presence with good customer service skills.
  • High school education.
  • 3+ years of previous administrative assistant experience preferably in athletics.
Preferred Qualifications
  • college preferred.
Working Conditions/Physical Requirements

Employee is subject to indoor work, protected from weather conditions. Work is sedentary in nature and involves exerting up to 10 lbs. of force occasionally and/or a negligible amount of force frequently/constantly in order to lift, carry, push, pull or otherwise move object.
