We are seeking a Program Coordinator, AICGS who will be responsible for the coordination of all AICGS grants and events in the Foreign & Security Policy and the Society, Culture & Politics Programs and contributes to research in the two programs. This role handles the logistics for all events outside the Geoeconomics Program, to include exchange programs and fellows’ seminars. They work with the President to manage the Corporate Membership Program and assists with the planning of the Global Leadership Award Dinner.

Specific Duties & Responsibilities:

Programs

  • In cooperation with the Director of Programs and Grants, support the FSP and SCP Program Directors with grant management, to include compiling grant reports, contributing to grant proposals, acting as a point of contact with funders
  • Support the Director of Programs and Grants in implementing all exchange programs
  • Manage the Corporate Membership Program, to include handling all logistical aspects of the Membership events, tracking Members’ term and payment, ensuring Members’ point of contact knows about relevant AICGS events and articles, maintaining a list of Member prospects, ensuring all Member benefits are fulfilled
  • Contribute to AICGS research in the FSP and SCP programs
  • In coordination with the Communications Officer, supervise and direct Interns’ projects and tasks
  • Manage maintenance of contact information on all individuals and organizations related to FSP and SCP programs, events, and grants in database

Events

  • Assume primary responsibility for coordinating logistical details of all FSP and SCP program and grant events, including drafting invitation texts for review by the Program Directors, distributing invitations and publicizing events, posting events on the AICGS website, making travel and hotel arrangements for speakers/participants, ordering catering, coordinating all day-of logistics, writing event summaries, requesting reimbursement and honoraria payments
  • Monitor event budgets and ensure annual deliverables are completed, reporting monthly to the Director of Finance and Operations
  • Provide travel and scheduling support to the President as needed
  • Assist in the planning and execution of logistical details of the annual Global Leadership Award Dinner (GLAD) and any other fundraising events, to include coordinating design for event and marketing materials.
  • Coordinating publicity efforts with Communications Officer.
    Determining procedures for disseminating invitations; emailing supporters about logos and ads.
  • Leading on-site event coordination, to include selecting menus, décor, entertainment, music, design; overseeing general correspondence, filing, records, and data entry; conducting event follow-up.

Minimum Qualifications (Mandatory):

  • High School Diploma/GED required.
  • Five years progressively responsible related experience required.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.*

* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Preferred Qualifications:

  • Bachelor’s Degree in International Relations or closely related field.
  • Knowledge of the German Language.
  • Interest in and knowledge of Germany’s political, cultural, and security affairs.
  • 2-3 years experience with planning large events.

  • Excellent organizational, communications (written/verbal), management, and computer skills (Microsoft Word, Excel, competency with digital platforms).
  • Energetic, efficient, extremely well-organized, independent, hard-working, and reliable, with an excellent attention to detail.
  • Strong interpersonal skills, take initiative, demonstrate innovative thinking, and be able to establish and maintain professional relationships with colleagues and constituents.

Level of Independent Decision Making:

  • Low-medium; major decisions are made by Program Directors.

Budget Authority:

  • Implements activities based on program budgets, has authority to incur expenses directly/without director approval.
