Job Summary

The Administrative Assistant II will manage the day-to-day operations of the ASU Extension Program’s office in Hinds County. The Administrative Assistant II is a member of the support staff unit of the Alcorn State University School of Agriculture and Applied Sciences.

Knowledge Skills and Abilities

The scope of the responsibility is to provide overall clerical support; greet visitors and answer/screen telephone calls, attend staff conferences as requested and assist with special work projects; communicate information to staff and stakeholders; participate in office staff meetings; plan and schedule office work assignments and participate in professional development trainings and workshops. The Administrative Assistant II is a member of the support staff unit of the Alcorn State University School of Agriculture and Applied Sciences.

Essential Job Functions

Must have good writing and verbal communication skills. Individual must demonstrate competency in the use of computers, computer programs (such as Excel, PowerPoint, Word, etc.) including digital media and electronic outreach methods. Coordinate work with volunteers.
Open office and manage the day-to-day operations of the office.
Compose and distribute office correspondence Prepare travel requests, reimbursements, and leave request Enter purchase requisitions on the Banner system and manage, and monitor requisitions for the Hinds County Extension staff
Prepare agenda and record and finalize minutes for center meetings Schedule meetings and maintain staffs’ calendar Establish filing system and keep a copy of travel, leave, etc. for Hinds County staff.
Supervise the management and maintenance of all computers, office equipment, phones, and machines Be knowledgeable of Extension function and have an understanding of the Extension’s mission.
Be punctual in adhering to office hours
Other related duties,as assigned.


A.A. Degree in Secretarial Science, Business Administration or Office Administration required.

Bachelor’s Degree preferred in Secretarial Science, Business Administration or Office Administration.
