Department Summary

The Erb Memorial Union (EMU) is a department of the Division of Student Life. The EMU is a multifaceted auxiliary service that employs over 90 professional staff and 400 student staff and serves over 15,000 daily users during the academic year. The EMU welcomes students, faculty, staff, the community, and visitors to campus, and its mission is to provide learning experiences and opportunities for personal growth in an open, inclusive, and resource-rich community where students and staff collaborate to inspire and sustain extraordinary programs and services that promote diversity and social interaction. The EMU is student-centered and is operated in collaboration with a student Board, who are actively involved in determining the character and scope of the department and approves the budget recommendations of all EMU services and programs.

The University of Oregon Club Sports Program is responsible for the administration of approximately 45 student organizations. The mission of the Club Sports Program is to provide students with the opportunity to strive for athletic excellence while maximizing student learning outcomes through experiential learning opportunities and leadership development.
Position Summary

The purpose of the Club Sports Office Coordinator is to provide a wide variety of services related to the smooth and effective functioning of the Club Sports Program. This includes communication (face-to-face, electronic, telephone) with staff, students, faculty, administrators, vendors, other departments on campus, and the general public. Essential services may include but are not limited to: overseeing Club Sports' travel and driver program; tracking program assessment information; maintaining confidential student information; providing telephone answering and message services; ensuring that supplies are ordered in a timely and cost-effective manner; sorting and distributing mail; delivering messages; providing room scheduling services; posting notices; operating and maintaining printers, scanners, and fax machines; coordinating and supervising student workers; and maintaining the professional appearance of the reception and office areas.

The Club Sports Office Coordinator will support the needs of approximately 45 student-run club sports organizations, including developing and maintaining electronic and paper files, composing correspondence, maintaining records, handling confidential student information, and performing other duties as required.

The position is directly responsible for the majority of the club travel component of the program, including the UO mandated driver-training program and coordination of the program driver certification process for approximately 500 drivers with Parking and Transportation. They will manage the driver certification database, schedule and conduct driver skill checks, and facilitate renewal certifications. This position is also responsible for making and confirming Motor Pool reservations, processing Motor Pool billing, collecting and processing student travel itineraries, creating detailed travel itineraries for weekly travel, and submitting them to the Department of Public Safety, Director, and Assistant Director.

The position is responsible for the design of promotional materials and communications around events including but not limited to web content, social media, Engage and email messaging. This position also supervises student and temporary staff members and assists with the supervision of seven student advisory board members.

Additionally, this position is responsible for responding to inquiries and requests regarding Club Sports programs and services; explaining or clarifying rules, processes, and procedures to students, faculty, staff, and the public; and providing specialized information about the program.
Minimum Requirements

  • Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents;
    OR
  • An Associate degree in Office Occupations or Office Technology;
    OR
  • Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.

    College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.
    Professional Competencies

  • Excellent writing, and attention to detail.
  • Ability to communicate effectively with students, staff, and faculty from diverse backgrounds.
  • Ability to prioritize and function effectively in a sometimes noisy and chaotic, student-centered office environment.
  • Ability to plan and implement student training.
  • MS Office Suite competency (Word, Excel) and the willingness to learn new computer applications.
    Preferred Qualifications

  • A Bachelor's degree.
  • Experience working with students in a supervisory role in higher education.
  • Experience in database management.
  • Demonstrated customer service experience.
  • Experience with web-based platforms.
