General summary/purpose:

The Payroll Coordinator is responsible for the accurate, timely support of Jhpiego payroll functions in accordance with University policy. The person in this role works closely with the Finance & Accounting Team, and with Jhpiego Global Human Resources Office

This is a hybrid role based out of our Baltimore, MD office. Jhpiego's hybrid schedule requires employees to work in the office 2 days per week.

Specific duties & responsibilities:

  • Assist with Jhpiego Payroll changes in accordance with JHU policies and procedures. This includes hiring, terminations, payroll cost transfers and changes in hours via SAP, affecting full-time and part-time staff, casual and student employees, meeting the JHU HR Payroll Shared Services specified timeline
  • Support E210 timekeeper entries
  • Troubleshoot effort submission tool workflow issues
  • Responsible for maintaining confidential employee data
  • Maintain electronic files of personnel, and payroll records in Jhpiego system (SAP)
  • Use Excel spreadsheets to assemble, manipulate, and format data and/or reports
  • Ability to work as an effective team player, respond proactively and efficiently in obtaining and providing essential financial information
  • Create and revise systems and procedures by analyzing operating practices;
  • Resolve administrative problems by analyzing information; identifying and communication solutions;
  • Maintain rapport with customers, managers, and employees by setting priorities and escalating urgent situations to department managers.
  • Provide information by answering questions and requests;
  • Maintains continuity of work operations by documenting and communicating needed actions to management; discovering irregularities and determining continuing needs;
  • Accomplish department and organization objectives by completing related results as needed;
  • Require analytical ability to gather data, analyze personnel requests, and interpret department policies and procedures;
  • Maintain updates to the Finance and Accounting website by uploading and posting current documentation/policies/procedures/guidance.

Minimum qualifications (mandatory):

  • Bachelor’s degree in Finance, Accounting, Business, or equivalent experience preferred
  • 3 years' payroll administration experience, preferably in support of international development program operations
  • SAP experience preferred
  • 1+ years' of JHU experience preferred
  • Experience in handling confidential and sensitive materials, with the ability to maintain confidentiality
  • Strong math and reasoning skills
  • Effective Thinking and Problem-Solving abilities
  • Demonstrated ability to effectively manage multiple priorities
  • Exceptional Customer Service skills
  • Strong Communication skills, both verbal and written
  • Meticulously detail oriented
  • Superior time management and organizational skills with ability to meet deadlines
  • Ability to exercise independent judgment
  • Intermediate knowledge in the use of Microsoft Outlook, Excel, and Word
  • Basic knowledge of general accounting policies and procedures

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
