Working under the supervision of the Director of Grants and Contracts Accounting, this position is responsible for the preparation of reports and schedules to support the fiscal management of federally and privately sponsored grants and contracts. This includes appropriate award establishment based on contractual documents, reviewing budget data for accuracy, entering journal entries, preparing financial reports, invoicing, and ensuring OMB and sponsor compliance requirements are met for approximately 65 projects. This position also involves detailed analysis of financial data along with preparation of and involvement with audits, schedules, reports, and other financial documents.

Essential Functions
  1. Review and reconcile financial transactions for a portfolio of accounts and prepares accounting corrections as necessary.
  2. Prepares Federal and Non-Federal Financial Reports on a monthly basis in accordance with established policies and procedures, sponsor regulations, and contractual requirements while also submitting invoices and requesting reimbursement via the use of complicated Sponsor Cash Management Systems.
  3. Collaborates with unit personnel to resolve financial issues; answers fiscal data inquiries from unit managers, research faculty, sponsors, external sources, etc.
  4. Prepares assigned audit schedules, which may include the Schedule of Federal Awards for the annual Single Audit, and provides support for annual audits, desk reviews, and site visits in accordance with instructions provided by the GCA management team.
  5. Directly supports staff accountants on answering fiscal data inquiries from unit managers, research faculty, sponsor funder, external sources, etc.
  6. Completes special project assignments involving one or more key aspects of post-award financial administration and special duties as assigned by the Director.

Supervisory Responsibility
  • This position reports directly to the Director of Grants and Contracts Accounting (GCA).
  • Responsible for the timely reporting of approximately 65 federal grants valued at $7 million.
  • Interacts with staff and faculty to ensure the university is in compliance with federal grant regulations.
Work Environment
  • Works in a deadline driven environment where the late filing of reports could result in financial penalties.

Required Education and Experience
  • Bachelor’s degree in Accounting, Finance, Business or a related field.
  • 3 years’ experience or combination of education and experience which demonstrates the necessary skills and abilities needed to perform the job.
  • Prior experience utilizing a complex data management system.
  • Excellent customer service, collaboration, analytical, teaming and communication skills.
  • Must have the ability to identify and provide solutions to administrative problems as well as the ability to study and interpret financial data, interpret contractual terms and conditions, follow government reporting instructions, and reconcile financial data.
