STUDENT SERVICES & ADMISSIONS SPECIALIST

Job Summary:

Serves as the front-desk and student support representative for the Student & Academic Affairs Office in the School of Pharmacy. Interacts with students as they matriculate by providing a variety of administrative support and coordination for student processes including admissions, registration, financial aid, academic progression, graduation, and course scheduling. Provides information to students, faculty, and staff regarding student-related processes and maintains and updates student records. Duties include, but are not limited to, answering incoming calls and responding to emails, greeting and assisting applicants, visitors, faculty/staff, and students. This person is also responsible for providing administrative support to the Student and Academic Affairs Office.

Responsibilities:

Interacts with students as they matriculate by providing a variety of administrative support and coordination for student process including admissions, registration, financial aid, academic progress, graduation, international education, and course scheduling. Provides information to students, faculty, and staff regarding related processes and maintains and updates student records. Strives to create a welcoming, equitable, and inclusive work environment.
  • 30% Provides direction to students and prospective students on a variety of processes including application, registration, financial status, academic and recreational programs, and graduation and licensure requirements
  • 25% Tracks prospective and/or current student status on academic progress or related areas
  • 25% Applies knowledge of programs, procedures, and policies to provide administrative support and assistance in a student services function, escalating more complex decisions to other personnel
  • 10% Assists the Experiential Education Office with background and health status progress/compliance checks for PharmD students
  • 5% Provides support to the Admissions Office staff with prospective student events and visits
  • 5% Assists the Associate Dean for Academic Affairs and the Office of the Dean with administration tasks as needed
Tasks:
  • Updates admission decisions, academic actions, and other student progress reporting in the UW-Madison Student Information System (SIS)
  • Inputs admission data in WebAdmit, the PharmD application system
  • Helps with the planning and implementation of PharmD admission interviews
  • Coordinates student records and archiving schedule with State Records
  • Maintains class lists and email distribution lists for current students
  • Provides front-desk support to visitors of the Student and Academic Affairs Office
  • Facilitates department purchase orders for supplies and other expenses as needed

- Confident, professional, and self-motivated with a desire to have ownership in responsibilities and projects
- Ability to work independently and as part of a team
- Excellent professional, interpersonal and organizational skills to collaborate effectively with a diverse group of faculty, staff, students, and the public
- Strong computer skills and understand of MS Office (Word, Excel, and PowerPoint); an understanding of a Student Information System (SIS) is preferred
- Ability to use discretion and maintain confidentiality.

8:00am-4:30pm Monday-Friday with some flexibility.

This position requires most work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location up to one day per week if desired.
