Position Summary

The Susanne M. Glasscock School of Continuing Studies (GSCS) connects Rice University to Houston and the world, offering exemplary educational opportunities for career changers, game-changers, lifelong learners and everyone in-between.

The program coordinator provides support for the Center for Philanthropy & Nonprofit Leadership (CPNL) at GSCS and serves as a strategic thought partner with the full program team. Duties include planning and executing logistics for conferences and individual classes in various delivery modes (in-person, synchronous online, dual-delivery, etc). S/he/they coordinates and monitors processes related to enrollment through the School's registration system and supports leaners through direct communication. S/he/they will work in collaboration with CPNL staff to prepare instructor letters of commitment and will assist with the planning and auditing of budgets. S/he/they is able to proactively plan anticipated workflows and make suggestions regarding timeframes and deadlines. S/he/they must be able to interact and collaborate with staff and instructor/faculty teams to gain trust and confidence of clients (students and/or partner organizations).

This is a part-time salaried position (25-hour workweek). Hybrid work schedule available.

Ideal candidate will have familiarity with and desire to utilize multiple systems including, but not limited to: Customer Relationship Management (CRM), Enterprise Resource Planning (ERP), Zoom, Canvas, Qualtrics, etc. This person should be a self-starter with an open mind, curiosity, and drive to learn new systems and improve efficiencies.

Essential Functions
  • Administers the daily operations of assigned program(s) with general guidance of a faculty member or a senior staff member
  • Conducts research, analyzes data, identifies trends and develops reports
  • Plans and monitors annual project budgets, assists in the development of longer terms budget plans
  • Recommends and implements outreach plans including communications, events, marketing, conferences, etc.
  • Plans and coordinates logistical aspects of recruitment activities
  • Provides support to faculty, staff, and students as related to the program
  • For academic programs, may assist with graduate student recruitment and admissions, student records, curriculum support, coordinating the accreditations process, managing scholarships and fellowships, and monitoring student progress.
  • Performs all other duties as assigned
Additional Functions / Information
  • Part time position, 25 hours per week
  • Must be able to work at a computer workstation for extended periods of time
  • Evening/weekend and on-call work as required to meet project deadlines
Required Qualifications
  • Bachelor’s Degree or equivalent
    • In lieu of the education requirement, additional related experience, above and beyond what is required, on an equivalent year for year basis may be substituted
  • One year of related experience in an administrative or similar role
    • In lieu of the experience requirement, additional related education, above and beyond what is required, on an equivalent year for year basis may be substituted
  • Ability to learn new strategies
  • Written and verbal communication skills
  • Data analysis skills
  • Ability to work well under pressure and manage multiple projects simultaneously
  • Good organizational and time management skills
  • Knowledge of Microsoft Office suite
  • Ability to work independently and as part of a team to meet expected deadlines and schedules

  • Ability to develop program partnerships and funding sources
  • Basic knowledge of managing budgets and developing financial plans

  • Familiarity with Zoom or other video conference platform for purposes of class delivery and technical support for instruction
