Description


The Center Coordinator facilitates the mission of the Center for Teaching, Learning, and Research (CTLR) by providing administrative support to the CTLR programs and the Director of CTLR while ensuring compliance with college-wide administrative procedures.

This is considered a full-time hourly benefits eligible position. The salary range for the position is $19.25- $24.05 per hour.

The ideal candidate possesses the ability to be flexible, manage competing priorities, and collaborate with others. Must be organized, detail-oriented, and able to prioritize work. This position works closely with the CTLR Program Coordinator and CTLR Systems & Communications Specialist to serve the needs of faculty and students.


Requirements

Essential Functions:
• Provides administrative support to the CTLR Director including CTLR-related appointment scheduling, deadline reminders and resolving conflicting events/appointments. Assists the director in the smooth operation of the CTLR and its various programs by independently assessing and problem-solving issues that arise and elevating to the Director or other CTLR members as necessary.
• Maintains a congenial work environment through effective communication both center-wide and with individual CTLR staff and maintains the suite and workroom environment. Including, managing the supplies inventory and maintenance of department equipment.
• Provides primary oversight for CTLR budget and finance activities, including budget related needs for enrichment, gift and endowed funds for center faculty and student development programs such as pedagogy enrichment, select fellowships, and undergraduate research funding. Works with GMHEC and other Middlebury offices to ensure funding activities are in compliance with College policies and practices.
• Creates and maintains CTLR internal calendars and resources. Interacts with students, faculty, and staff answering inquiries or directing them to proper offices. Assists with coordinating arrangements for external faculty development speakers related to the CTLR mission including all logistics. Schedules, supports and maintains records for center committee meetings including department, director, advisory, and development planning meetings.
• Provides coordination and event support for the center's annual programs: Academic Roundtable Series, Learning Institute, Teaching and Writing Retreat, J-Term Pedagogy Series, Summer Research Symposium, and Spring Student Symposium.. Support includes committee meetings, room reservations, catering, calendar postings and staffing event as needed.
• Primary coordinator with operational oversight of the campus-wide Spring Student Symposium including committee and subcommittee representation. Manages 200 on-line submissions, preps materials for committee meetings, completes the symposium schedule and compiles online and hardcopy programs. Coordinates posters and advertising materials for campus-wide distribution. Collaborates with multiple departments in logistical planning and execution including facilities services, event scheduling office, catering office, technology support, communications department, and the MBH Administrative Program Coordinator. Provides updates and instructions to participants, faculty sponsors, moderators, and technology support. Provides budget and data management.
• The annual Teaching and Writing Retreat requires securing the venue and coordinating with the resort manager and the events coordinator as well as processing registration, organizing housing, and working on-site to ensure the smooth operation of this two-day event.
• Supports the staff recruiting process. Monitors department compliance with all College hiring guidelines, coordinates recruiting process using current software program, prepares visiting candidate's schedule (travel, interviews, lodging, meals, and publicity), and prepares interview folders for senior administrators. Also, assists in acclimating new staff to the college and local community.
• Assists in the coordination of all CTLR programs and events as part of the CTLR administrative support team.

Qualifications

Education:
Bachelor's Degree or equivalent office management experience required
Knowledge, Skills, & Abilities:
• Strong organizational and communication skills. Ability to organize long- and short-term projects while prioritizing essential tasks, and meeting deadlines. Attentive to detail, creative, flexible, curious, and willing to develop new competencies as required.
• Success working both independently and collaboratively in cross-functional teams. Understanding of cultural, social, economic, ethnic, and other forms of diversity, and its importance to the College's mission, required. Demonstrated desire to work with college-aged and diverse populations.
• Must have computer literacy, expertise with Microsoft Office, Excel, email, and file sharing. Able to update online content in web pages or other center environments. Ability to learn multiple computer systems/programs. Oracle software and Content Management System knowledge preferred. Good writing skills are required.



Experience:
• 3-5 years of previous administrative office experience


Physical Demands:
• Must be able to sit at a computer for long periods of time and complete errands across campus.
