ADMINISTRATIVE ASSISTANT
Department of Agriculture
Full Time
Primary Responsibilities
- Provides full administrative support to department and faculty
- Greets visitors, answers multiple telephone lines, schedule campus visits; and provide quality customer service
- Compose and produce letters, memos, meeting minutes, and reports
- Schedule appointments, meetings, make reservations and travel arrangements
- Correspond with current and prospective students
- Organizes and maintains electronic and paper files
- Enters department course schedule into scheduling system
- Handles confidential materials
- Help organize, attend, and take minutes at all department meetings
- Manages multiple budget accounts and completes account reconciliation, expenditures, and account transfers
- Process purchase requisitions and invoice payments
- Assist farm and greenhouse managers with budget accounts and other administrative duties
- Maintain all department inventory (hardware, software, and supplies)
- Manage student workers; organize the flow of work through the office
Required Qualifications
- High school diploma or GED
- Knowledge of Microsoft Office Word and Excel (Microsoft Office testing required for qualified applicants prior to interview. See additional information section below for more details)
- Demonstrated complete administrative skills
- Excellent interpersonal, verbal, and written communication skills
- Excellent organizational and time management skills
- Evidence of accuracy in recording data and attention to detail
- Demonstrated ability to handle multiple tasks with frequent interruptions
- Experience with budget management (purchasing, accounts payable, receivables, etc.)
- Evidence of the ability to work independently with minimal supervision and as a team player
- Ability to interact effectively with students, faculty, and staff
- Ability to handle sensitive and confidential information
- Demonstrated experience and understanding of customer service and ability to maintain positive relationships
- Demonstrated commitment to a diverse work environment, including working with multi-cultural populations and an understanding of, and sensitivity to, issues affecting women and minorities
- Demonstrated willingness to support auxiliary units within department
