Position Summary
ADMINISTRATIVE ASSISTANT
Department of Agriculture
Full Time

Primary Responsibilities

  • Provides full administrative support to department and faculty
  • Greets visitors, answers multiple telephone lines, schedule campus visits; and provide quality customer service
  • Compose and produce letters, memos, meeting minutes, and reports
  • Schedule appointments, meetings, make reservations and travel arrangements
  • Correspond with current and prospective students
  • Organizes and maintains electronic and paper files
  • Enters department course schedule into scheduling system
  • Handles confidential materials
  • Help organize, attend, and take minutes at all department meetings
  • Manages multiple budget accounts and completes account reconciliation, expenditures, and account transfers
  • Process purchase requisitions and invoice payments
  • Assist farm and greenhouse managers with budget accounts and other administrative duties
  • Maintain all department inventory (hardware, software, and supplies)
  • Manage student workers; organize the flow of work through the office


Required Qualifications

  • High school diploma or GED
  • Knowledge of Microsoft Office Word and Excel (Microsoft Office testing required for qualified applicants prior to interview. See additional information section below for more details)
  • Demonstrated complete administrative skills
  • Excellent interpersonal, verbal, and written communication skills
  • Excellent organizational and time management skills
  • Evidence of accuracy in recording data and attention to detail
  • Demonstrated ability to handle multiple tasks with frequent interruptions
  • Experience with budget management (purchasing, accounts payable, receivables, etc.)
  • Evidence of the ability to work independently with minimal supervision and as a team player
  • Ability to interact effectively with students, faculty, and staff
  • Ability to handle sensitive and confidential information
  • Demonstrated experience and understanding of customer service and ability to maintain positive relationships
  • Demonstrated commitment to a diverse work environment, including working with multi-cultural populations and an understanding of, and sensitivity to, issues affecting women and minorities
  • Demonstrated willingness to support auxiliary units within department
