This is a calendar year (twelve-month) professional appointment. The position reports to the Dean of Student Services and has managerial responsibility for the office of the Registrar with three direct reports, the Assistant Registrar, Academic Records and Services Coordinator, and the Academic Records and Testing Specialist all located at the Sedalia campus. 

The Registrar works closely and collaboratively with other administrators and departments to ensure compliance to existing policies and procedures and is an administrative leader who implements and maintains new applications of technology and upgrading/enhancement of existing systems while providing quality assurance and integrity of data. 

 

The Registrar provides oversight and distribution of the permanent academic record for all students and alumni. This responsibility is inclusive of establishing the master schedule, pre-registration, oversight of incoming student registration, add/drop of course(s), registration overrides, course withdrawal, withdrawal from college, grade submission, awarding all prior learning credit and managing the academic petition process. 

 

The Registrar is also the final auditor of the academic record when a student completes their program of courses. As the final auditor of student records, the college Registrar is the institutions academic integrity barometer ensuring all students regardless of program meet the breadth and depth of the institution's learning outcomes. Distribution of diploma, notation of degree completion on the academic record and conferral affirmation are essential to the role.

Essential Duties: Directs the daily operations of the Academic Records and Registrar Office.

1. Recommends and participates in the development and implementation of college academic policies, regulations and procedures regarding student registration, records, class schedules, and graduation requirements.

2. Develops training materials and conducts training in the areas of FERPA, General Education, Certificate and Degree Programs, Registration, Schedule Entry, and Degree Works.

3. Supervises all employees of the office, inclusive of professional development activities, determining annual goals to align with institutional initiatives and ensuring staff meet annual performance evaluation expectations.

4. Develops and publishes major college information documents including, but not limited to the academic calendar, course catalog and class schedules.

5. Maintains the student degree audit software (Degree Works).

6. Evaluates transfer credit.

7. Oversees NJCAA certification of student-athletes entering the college’s sports programs and ensures the on-going management of NJCAA eligibility for existing student-athlete participants in these programs.

8. Develops and manages annual budgets for the department.

9. Represents the institution to various internal departments as well as externally to governmental agencies, vendors, students and their parents, and/or the general public.

10. Serves as Chair of the Curriculum Committee and Missouri Reverse Transfer Coordinator.

11. Upgrades professional knowledge, evaluates new technologies, and recommends implementation as appropriate.

12. Performs miscellaneous job-related duties as assigned.

 Typical Qualifications: · Experience – Five years of supervisory experience in registration, student services or academic advising in higher education. Demonstrated proficiency using standard office software and student information systems. Experience with Microsoft Office, Adobe Pro, Ellucian Banner and Ellucian Degree Works preferred.

· Education – Bachelor’s degree in business administration, management, accounting, information systems or related field required. Master’s degree in business administration, management or related field preferred.

· Needed Skills –

o Strong interpersonal and communication skills and the ability to work effectively with a diverse population.

o Strong computer skills to include Microsoft Office, Adobe Acrobat, Banner, Document Manager and Degree Works.

o Strong attention to detail, highly organized and the ability to quickly adapt to change.

o Ability to use independent judgment and to balance institutional policies with the individual needs of students.

o Knowledge of customer service standards and procedures.

o Knowledge of the rules, regulations, laws and guidelines effecting student records, academic affairs and curriculum.

o Knowledge of FERPA and the ability to oversee compliance with FERPA guidelines and serve as a resource on FERPA issues.

o Knowledge of NJCAA rules and certification of student athlete eligibility.

o Knowledge of records retention and/or destruction policies and procedures.

o Ability to work with multiple departments to develop and maintain the detailed academic calendar, course catalog and department web page.

o Ability to analyze transfer credit, course prerequisites, certification, and/or curriculum/graduation requirements.

o Ability to coordinate the preparation of course schedules for credit programs, noncredit programs, and SFCC Career and Technical Center and ensure sections are scheduled according to institution scheduling guidelines and meet required contact time.

o Ability to perform as functional lead for Student Module in Banner and maintain the student degree audit system (Degree Works).

o Ability to work with other departments to improve processes that decrease time and improve efficiencies in the areas of enrollment, retention, and completion.

o Ability to research, analyze, and coordinate with other offices as necessary to resolve student issues and problems related to student records, registration, grades, transcripts, enrollment status, and graduation.

o Ability to supervise and train employees, to include organizing, prioritizing, and scheduling work assignments.

o Skilled in budget preparation and strategic planning.

Physical Requirements: Work involves sedentary to light work in an office setting. There is frequent sitting, with walking, standing and stooping occasionally required. There is an occasional need to lift objects (up to 10 pounds) and perform other similar actions during the course of the workday. Standard Work Schedule:

Monday-Friday: 8:00 am – 5:00 pm with occasional nights and weekends.

Travel Requirements:

Occasional travel may be required.
