Job Description
The School of Medicine Dean’s Office is pleased to announce an opening for an Executive Assistant. This position will provide administrative support to multiple faculty and staff members in the Dean’s Office.
Duties include but not limited to:
Provide administrative support to the Associate Dean for Diversity & lnclusion: manage calendar, scheduling, prepare presentations, answer questions from faculty, staff, and students, distribute emails on Diversity & Inclusion topics/events to all faculty and staff, plan and execute welcome event for new first year medical students (M 1’s).
Support of multiple pipeline programs and initiatives, often in conjunction with the SOM student body and MUHC: assist the PAWS (Pathways to Success) coordinator with events, including vetting process (background checks, vaccination confirmation), coordinate the Visiting Student Diversity Program, prepare and distribute Unique Perspectives Newsletter, assist with Faculty Diversity Ambassadors program, assist with curriculum and programming for Addressing & Reducing Cultural Bias and Student Diversity, plan annual SNMA presence with booth and events, plan SOM Diversity & Inclusion participation in PRIDE event, plan and execute URM mixers- 3 annually, maintain Canvas site for Diversity & Inclusion class for faculty and staff, plan and execute virtual residency fair, plan and execute VSDP.
Support WIMMS: staff monthly meetings, plan and execute special meetings throughout the year, plan and execute spring conference, coordinate Anna B. Searcy Award, coordinate Faculty Leadership Development Travel Awards, send notifications of monthly empowerment lunch, coordinate McGill Society quarterly book club.
Provide support as required to the Senior Director of Talent and executive assistant, assisting with faculty recruiting visits and other activities (preparation of itineraries; coordinating lunch, seminars, other events; escorting candidates to appointments in the School of Medicine and other locations around campus)
Salary
Salary Range: $16.92 - $30.68 Hourly
Grade: GGS - 008

Minimum Qualifications
Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.
