Position Summary

The Department of Mechanical and Aerospace Engineering ( MAE ) in the School of Engineering and Applied Sciences ( SEAS ) at the University at Buffalo seeks to fill a Facilities Coordinator position. We are particularly looking for candidates who can operate effectively in a diverse community of students and faculty and share our vision of helping all constituents reach their full potential.

The primary purpose of this position is to support the department mission by providing the department with facilities and administrative support. The incumbent will work in collaboration with the department chair and the director of administration to provide technical support for faculty and staff tasks.

The successful candidate will be expected to assume the following responsibilities:

Facilities:
  • Provide technical and instructional support to departmental students, faculty, and staff
  • Provide oversight of all space assigned to the department including offices, common areas, instructional laboratories and research laboratories.
Space- related tasks include:
  • Tracking distribution of office/lab keys
  • Setting up department labs for research, teaching and instruction
  • Administrate safety audits, space surveys and maintenance.
  • Assist of direct installation of new equipment in educational and faculty laboratory spaces.
  • Provide maintenance support for equipment and lab spaces or serve as departmental liaison for faculty and vendors.
  • Coordinating space updates and schedules for faculty candidates to offer attractive lab spaces during recruitment visits.
  • Administrate large renovation projects in collaboration with principal investigators and appropriate dean’s office staff.
  • Serve as point of contact with the asset management team to maintain and track department inventory.
  • Demonstrate multitask skills with facility duties and other project management tasks simultaneously while meeting all appropriate deadlines and timeframes.
Administrative Support:
  • Assist director of administration with faculty reappointment, tenure and promotion processing
  • Coordinate with department staff and faculty to ensure facilities and budget priorities are planned accordingly. Working with Director of Administration to develop update plans and cost estimates to continually improve department facilities.
  • Other duties as assigned to support the mission of the department or extenuating circumstances.

Minimum Qualifications
  • Bachelor’s degree.
  • Project management and fiscal management would be a beneficial for incumbent to be familiar with.
  • Excellent writing and communication skills.
  • Expertise in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to manage multiple priorities at the same time.

Preferred Qualifications
  • 1 year of experience working in higher education.
  • Ability to learn new technological systems in an efficient manner.
