General summary/purpose:

Knowledge Management Coordinator role is a dedicated support resource to the Knowledge Management function within New Program Development (NPD) and is accountable for the coordination of operational activities such as data management processes, analyses, reporting, and dissemination across multiple knowledge management platforms. Additionally, this position will lead administrative tasks to ensure all documentation, including data, is up-to-date and accessible to key stakeholders.

This position works to coordinate processes and resources to ensure the smooth implementation of proposal analysis and development activities within the department as well as provide support for business data analysis and cross-departmental NPD learning opportunities.

Specific duties & responsibilities:

  • Provides support and coordination of Knowledge Management (KM) system activities, including data management and analysis across multiple platforms under the general supervision of the Knowledge Management Advisor
  • Produces monthly, quarterly, and bi-annual reports using NPD’s CRM database for presentation to Jhpiego’s Leadership Team and other key stakeholders (CEO, CFO, Advisory Board, VP of NPD)
  • Advises on and/or conduct quality assurance exercises that will continuously optimize NPD’s KM systems
  • Identifies and recommends opportunities for improvements to reporting, processes, tools, forms, tracking
  • Advises on, conceptualizes, improves, and/or creates new visuals to better understand and communicate our data, which will help NPD as a department optimize our pursuit of priority opportunities and understand our performance so that we can make better organizational decisions
  • Supports the development of custom solutions to graph and visualize Jhpiego’s business data (e.g. PowerBi Dashboards), with an emphasis on mapping advancements pertaining to strategic focus areas
  • Collaborates with internal and external stakeholders to ensure appropriate materials, tools, resources are ready and available in alignment with service delivery requirements
  • Liaises with multiple departments including Resource Development Finance, NPD, and TLI to align on system interoperability and perform data quality assurance measures to ensure quality and fidelity of data entry
  • Leads requisite administrative KM tasks within NPD, including bi-annual reviews and enhancements of all proposal guidance, tools, and samples in the Proposal Resource Guide, SharePoint updates, and Proposal Library maintenance
  • Monitors procurement websites for opportunities that align with strategic priority areas and subsequent alerts to staff across multiple departments. Provides ad hoc support for proposal teams on job descriptions, recruitment tracking sheets, CVs, and other tasks
  • Works with KM Advisor to develop, maintain, and disseminate NPD standard operating procedures for KM systems, not limited to CRM, OneDrive Proposal Library, Proposal Inbox, NPD SharePoint, and Jhpiego’s Proposal Resource Guide
  • Supports the development of virtual and in-person capacity building efforts for staff across Jhpiego engaged in NPD pursuits, including the development and maintenance of JLearn materials
  • Minimum qualifications (mandatory):

  • BA or equivalent with 2+ years’ and administrative experience
  • Advanced proficiency in Microsoft systems (e.g. Microsoft Excel, SharePoint, OneDrive) and an understanding of statistics
  • Adept at quickly learning and applying new software systems
  • Ability to analyze data and develop reports, presentations, and visualizations of business data to present to Leadership that will inform progress updates and decision-making related to strategic areas of importance
  • Basic understanding about how business logic is used to create database queries and reports
  • Skill guiding consultants, developers, and casual staff/interns in the development of online dashboards, virtual trainings, and optimizations to existing knowledge management platforms, including oversight and review of solutions
  • Advanced administrative skills and ability to make process and protocol recommendations/updates paired with departmental trainings/orientations to improve systems and data quality
  • Ability to maintain and refine knowledge management data with limited oversight, utilizing strong decision-making skills and results-oriented approach
  • Demonstrated ability to work in fast-paced, complex environment with multiple tasks and short deadlines
  • Ability to interact skillfully and diplomatically with numerous counterparts, both domestically and internationally
  • Ability to use empathy and client-orientation to produce information products
  • Aware of and sensitive to working in multiple socio-economic settings and with multi-cultural groups
  • Strong organizational, presentation and verbal and written communications skills
  • Preferred qualifications:

  • Experience living or working in an LMIC setting
  • Education or experience in the global public health field
  • Familiarity in working with databases and how to optimize their functions (e.g. CRM)

    During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

    The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
