Payroll Analyst



PAYROLL ANALYST

City Colleges of Chicago (CCC), the largest community college system in Illinois, is made up of seven colleges and five satellite sites, providing more than 70,000 students each year access to a quality, affordable education.

PRIMARY OBJECTIVE

Reporting to the Payroll Manager, thePayroll Analystis responsible for processing, ensuring accuracy and adhering to deadlines for all bi-weekly Full-Time Faculty, Part-Time Credit Lecturers, Continuing & Vocational Education, Special Interest, GED and CDL Credit contracts, as well as all cancellations of contracts for all academic terms; ranging from 3,000 plus contracts per term.

ESSENTIAL DUTIES

  1. Works closely with the academic units of the colleges to process/cancel accurate and timely full- time faculty and part-time lecturer’s employment contracts for all academic terms.
  2. Responsible for ensuring that all full-time faculty and part-time credit lecturers employment contract data is accurately recorded in the CCC holding table, so that such contracts are paid correctly according to the terms & rates of the various contracts.
  3. Has a thorough understanding of the colleges contracts, payroll, and HR policies and procedures.
  4. Process all dock payments for contracts to record absences properly.
  5. Ensures all campus personnel receive regular updates as to the status of outstanding contracts.
  6. Assists in ensuring the completeness and accuracy of CCC accounting and payroll records and maintaining a climate of confidentiality.
  7. Ensure proper and consistent internal controls, techniques, and procedures are followed appropriately in the performance of responsibilities. Investigate and resolve discrepancies timely.
  8. Prepares and provides payroll analysis, reports and related documents to HR and Payroll management.
  9. Meets established deadlines to complete and deliver accurate and timely payrolls each period.
  10. Reviews payroll queries/reports to ensure bi-weekly and off-cycle payrolls are processed accurately.
  11. Monitor/Maintain contracts email in-box.
  12. Assists with internal and external audits.
  13. Communicates with employees and leadership to resolve payroll related issues or inquiries.
  14. Performs analytical computations and perform data entry in the payroll system, when required.
  15. Maintain CCC policies and procedures for processing bi-weekly payroll.
  16. Perform related duties as required and assigned.
  17. Establish a high level of customer service with our stakeholders, both internal and external.

Chicago residency is required for all full-time employees within 6 months of hire.

QUALIFICATIONS
  • An A ssociate’s degree or sixty (60) semester hours of credit hours from an accredited college or university, plus three years of accounting, auditing or payroll experience; or an equivalent combination of education and experience
  • College level course work in accounting, business administration or finance strongly preferred
  • Experience with Microsoft Access and PeopleSoft’s (Oracle) Human Capital Management System preferred
  • Fundamental Payroll Certification (FPC) desirable
  • Must possess and maintain a high level of confidentiality and professional comportment
  • Strong verbal and written communication skills
  • Ability to manage multiple tasks simultaneously and willingness to work flexible hours during peak periods with autonomy
  • Ability to manage multiple priorities, understand and attend to details, meet established deadlines, and provide excellent customer service to the college’s community
  • Ability to work well with persons at all levels of the organization, including external parties
  • Ability to handle all situations with tact, persuasiveness, and diplomacy
  • Must be self-directed and able to meet deadlines with a high level of accuracy and in a timely manner.
  • Proficient in the use of Microsoft Office (Word, Excel, PowerPoint)
