Job Description
Montgomery College, Takoma Park / Silver Spring Campus, Nunley Student Services Center has an immediate need for a full-time Administrative Aide III (R3573). The typical work schedule is Monday-Friday, 8:30am - 5:00pm. This is a non-exempt, non-bargaining, grade 23 position. For non-exempt positions, you are not eligible to work a secondary job at Montgomery College.

After successful completion of the initial employment probationary period, this position may be eligible for limited telework opportunities. Currently, this is one day a week. Flexibility will be required based on the needs of the College.
This position provides administrative, technical and secretarial support to the Dean of Student affairs and auxiliary support to the student engagement units and facilitates the administrative procedures related to the programs and services offered by the office.
Duties include but are not limited to:
Knowledge of Banner Finance and student information systems.
Hiring Range: $24.45 to $31.77 per hour. Initial salary placement is based on candidate experience and internal equity.

This position provides administrative, technical and secretarial support to the Dean of Student affairs and auxiliary support to the student engagement units and facilitates the administrative procedures related to the programs and services offered by the office.
Duties include but are not limited to:
- Managing and reconciling operating budget for Dean of Student Affairs; processing departmental documents for approval; reviewing submitted documents for accuracy; training new budget managers on accounting procedures.
- Coordinating the administrative, technical, and secretarial functions of the unit, including determining proper workflow and setting priorities.
- Providing direct administrative, technical, and secretarial functions.
- Establishing effective record-keeping systems, and ensuring compliance with established policies and procedures regarding office services, college protocols, and administrative requirements.
- Manag ing and maintain ing the dean’s calendar to include arranging meetings, making room reservations, and coordinating the performance evaluation process for the dean’s direct reports
- Advising department support staff and serving as a resource on college policies and procedures
- Communicating general information to a diverse population of students, faculty, parents, and visitors by phone, e-mail and in person.
- Recruiting, training and supervising student employees.
- Other duties as assigned.
- High school diploma or GED including or supplemented by courses in word processing and office practices.
- Proficient in budget management and Microsoft office applications.
- Five (5) years of progressively responsible experience performing general office and secretarial duties including customer service.
- Three years of clerical and general office experience managing multiple priorities.
- Knowledge of: office support procedures and practices; English usage to include spelling, grammar, writing styles and formats; mathematical computations and techniques needed to collect, organize, and report information/data in a narrative or statistical format; record keeping principles and procedures; and, PC hardware and other office applications.
- Ability to draft written correspondence, interact with the public and staff, and manage multiple projects.
- Knowledge and understanding of FERPA and other compliance related policies.
- Ability to screen for crises and resolve and handle routine matters.
- Ability to exercise confidentiality.
- Eligible applicants must currently be authorized to work in the United States and not require employer visa sponsorship.
