Job Summary

Auburn University Outreach seeks candidates for an Outreach Administrator I/II for the Osher Lifelong Learning Institute ( OLLI ). This position will assist with coordination of curriculum and instruction, OLLI classes, public lectures, workshops, and other events. This position works closely with the Director and Communications Coordinator to ensure the smooth operation of OLLI programs.

Essential Functions
  • As liaison to OLLI Curriculum Committee, corresponds among and between the OLLI instructors, Curriculum Committee, and OLLI staff to schedule and organize OLLI programming. Collects and distributes course proposals, prepares copies for classes and meetings, adjusts time and day preferences for OLLI courses to fit space needs, creates, and maintains spreadsheets for course offerings. Attends Curriculum and Advisory Committee meetings and puts action items in place.
  • Provides Communications Coordinator edited course descriptions, and bios for instructors, speakers and invited lecturers for preparation and dissemination to membership and public.
  • Regularly evaluates classes and programs.
  • Corresponds with University of Alabama and University of Alabama at Huntsville OLLIs for program called “OLLI Shares.” Makes sure OLLI Shares Zoom classes and Facebook Live presentations are set up and implemented.
  • Oversees the audio/visual needs for OLLI courses. Coordinates with OLLI instructors to determine classroom needs. Works with Outreach IT to ensure that audio/visual equipment is operating and properly updated and maintained. Maintains the technology spreadsheets and lists. May include supervision of a classroom assistant.
  • Working with other OLLI staff, ensures that all University required forms and information have been submitted to appropriate offices prior to classes, fieldtrips, and events.
  • Facilitates remote classes by working with staff at remote locations and covers day to day operations of OLLI classes in those spaces. Working with instructors, helps identify class coordinators and corresponds with them about required duties.
  • Receives class rosters from Office manager/Registrar and sends to OLLI instructors.
  • Represents OLLI at organization functions and community events.
  • Coordinates OLLI volunteers for internal OLLI programs. Provides information when needed to Communication Coordinator to recruit volunteers for classroom coordinators and other needed volunteers. Organizes the time shifts. Sends email reminders to and finds substitutes for volunteer
  • Helps support classroom activities as needed, including setting up furniture, preparing coffee and water, placing sign-in sheets, etc.
Minimum Education and Experience

Education Level

Bachelor’s degree from an accredited institution

Field of Study

Education, Education Administration, Public Administration, or a related field

Level II requires a bachelor’s degree in the disciplines listed above plus two years of experience in the design, implementation, delivery and management of educational programs/services .
