Administrative Coordinator

About the Opportunity

The Administrative Coordinator (AC) serves as the main point of contact and primary administrative support role in the Office of the Senior Vice President (SVP) of University Advancement for internal and external constituents. These responsibilities include managing the SVP's calendar, preparing and coordinating schedules and logistics for internal and external meetings, and responding appropriately to rapidly changing priorities. The AC will help organize business travel for high-level donor visits for the SVP and President. They are responsible for preparing well-conceived and well-written visit and event briefings. The AC will interact daily with the President, the President's Office, offices of members of the Board of Trustees, senior leadership team members of Northeastern, high-level prospects and donors, and faculty and staff. They must always possess an extraordinary level of professionalism.

The Administrative Coordinator is responsible for maintaining Salesforce records for the SVP and President, including personal visits and call reports. They will create campaigns for special events on behalf of the SVP and President in Salesforce.

The AC will assist in the drafting and writing of acknowledgements, working in partnership with the Donor Relations team. The AC will assist in event planning and logistics, including preparing event briefs.

This is a Boston-based position and is not eligible for remote work.

QUALIFICATIONS

Bachelor's degree required. One to two (1-2) years of experience working in a fast-paced environment required, preferably in Advancement/Development/Alumni Relations. Strong organizational and information management skills. Ability to consistently interact positively with variety of constituents. Extraordinary level of professionalism required. Must have proven ability to work independently and to communicate well verbally and in writing. Must be able to serve as able ambassador for Advancement and SVP Office. Evening and weekend work as needed.

KEY RESPONSIBILITIES

Provide Support to SVP and Manage SVP Office

Manage day-to-day scheduling and administrative needs of the SVP. Written and oral communication with faculty, staff, students, and alumni on behalf of the SVP. Assist Associate Director, Leadership Advancement and SVP Projects in scheduling external meetings and calls for SVP. Calendar management, including lead in scheduling meetings and calls for SVP. Assist Associate Director in booking travel for the SVP and President and assist with travel preparation.

Meeting preparation including collaborating with colleagues to obtain research and background information. Ensure SVP has necessary information and materials ahead of meetings. Prepare VIP briefings for meetings and events. Prepare Board and Committee briefings as necessary.

Act as first point of contact for the SVP and their office. Ensure all guests to the Office of the SVP are well-tended to. Manage main telephone line for the office, relay messages, and ensure timely follow up. Liaison between Office of the SVP and Advancement Operations to coordinate and execute division meetings and events; act as liaison between SVP and the division.

Data Management

Reconcile and submit Concur reports for SVP and rest of team. Maintain Salesforce records for SVP and President including personal visits and call reports; create campaigns for special events on behalf of the SVP and President in Salesforce. Independently prepare reports and analyze data to be used by SVP in decision-making and reporting to the President as well as members of the BOT and other senior management of the university.

Assist with prospect research and discovery using platforms including Salesforce, iWave, and Sales Navigator.

Stewardship and Events

in partnership with Donor Relations team, Assistant Director and President's Office to ensure quality and accuracy of stewardship letters. Facilitate end-to-end processes to ensure that stewardship efforts are completed in a timely manner on behalf of the SVP.

Assist in event planning and logistics. Prepare event briefings, staffing plans.
