Position Purpose
Under the supervision of the Department Administrator, provides a variety of administrative and academic support to faculty and department staff, and works to increase department efficiency and expedite and process the work of others.

- Proficient in the use of Microsoft Office products.
- Strong interpersonal skills.
- Strong organizational skills.
- Ability to multitask, establish priorities, and adhere to deadlines.
- Ability to work independently and reliably.
- Experience with brochure and poster design software a plus.
- Experience with posting information and materials to social media, including Instagram, Facebook and Twitter.

Communication
- Serves as initial point of contact for inquiries to the Department, and acts as liaison between College employees, alumni, students and those outside the college. Responds to inquiries and provides information or refers to appropriate individual to address the needs of the inquiry. Communicates respectfully with a diverse community.
- Prepares and distributes any newsletters, flyers, posters, and mass mailings to publicize department activities and provides any needed online advertising and support for the same.

Description
General Office Support
- Assists with the coordination and support of day-to-day activities of the Department.
- Provides guidance and assistance to others on the functioning of office equipment, e.g. copy machines and general use computers.
- Orders all supplies for the department (general office supplies, food, water and other necessary items) and routinely checks supplies for replenishment.
- Keeps main office/coffee area clean and replenished with water and supplies.
- Types correspondence, reports, and instructional materials and performs minor proofreading and editing. Photocopies, collates and stores physical and online materials as needed.
- Serves as primary support between AT’s (Assistant Teachers) and Language Program Director. Processes online student timesheets, paper drill packets and all other materials needed for AT work and prints the same for faculty and AT use. Uploads information to online Learning Management System for faculty use. Distributes textbooks to AT’s and collects the same at the end of every term.
- Requests office hours, syllabi and other term-by-term information from faculty and staff for posting in Department and on website.
- Places textbook orders every term and follows up with faculty to ensure timely ordering of materials.
- Distributes course evaluations to faculty at the end of every term and gives completed evaluations to the Department Administrator.

Schedule Coordination
- Serves as primary contact for the Department’s visiting speakers. Handles all aspects of visiting speakers including introductory communications, all travel and hotel arrangements, lecture hall scheduling, meal reservations, the drafting of posters, flyers or any other printed or online materials.
- Schedules seminars, symposia, events and functions including compiling and distributing meeting agendas and materials; arranging luncheons and dinners; summarizing committee activities, and coordinating any other visitor travel arrangements as needed.
