Position Summary:

The primary purpose of this position is to provide administrative support to the chair and faculty in two departments. This includes responding to emails and providing telephone reception; maintaining and organizing all departmental documents and office supplies; monitoring the budgets and expenditures of research contracts and department accounts; setting up and coordinating meetings/calendar invitations and event planning as requested by the chair; corresponding and following up with various constituents on departmental business; supporting student recruitment activities; initiating and processing PAFs for faculty and students; assist with maintaining the department website and other publicity materials; assist students with course registrations and correspondence with other business units; coordinating work orders with Facilities Management as needed for classrooms, offices and research labs; assisting with purchasing.
Minimum Qualifications:
• High School Diploma
• Two or more years of full-time administrative support experience in a professional office setting;
• Experience using Microsoft Word, Adobe reader, or similar software in a professional setting to prepare documents, reports, and correspondence;
• Experience using Microsoft Excel in a professional setting to create and maintain
spreadsheets to track projects, and other data;
• Articulated ability to manage multiple priorities;
• Articulated ability to work independently with little supervision;
• Experience following established procedures and processes;
• Excellent written communication skills
• Ability to engage effectively and respectfully with multiple constituents, including faculty, staff, students, parents, and university guests
Preferred Qualifications:
While not everyone may possess all of the preferred qualifications, the ideal candidate will bring many of the following:
• Associate’s degree
• Experience working in a college or university academic office;
• Demonstrated ability to work successfully as a team member;
• Successful experience protecting and maintaining confidentiality of information;
• Successful experience planning and organizing work in observance of deadlines;
• Experience with Gmail and google-calendaring;
• Experience with Google Drive documents;
• Experience with Banner and Cognos IT systems;
• Knowledge of and sensitivity to Catholic and Marianist values of the University of Dayton.
• Demonstrated excellent verbal and written communication skills

A federal court on December 7, 2021, issued a ruling that suspends the COVID-19 vaccine requirement that applies to federal contractors nationwide. With this development, the University will pause any enforcement action against employees who have not complied with the requirement to be fully vaccinated by Dec. 8, 2021 or to have requested an exemption to maintain their employment status.
