Schedule: M-F, 8am-5pm; overtime as necessary

Position Summary

The Fiscal Operations Specialist supports, processes and provides excellent customer service to internal and external stakeholders. This position is responsible for accurate and efficient data entry and data review of various Office of Talent Strategy related information inclusive of budgets, timesheets, contracts and project proposals. The incumbent is responsible for maintaining confidentiality of records. This role supports the Assistant Director and other Administrators by managing calendars, scheduling meetings and providing clerical support as needed. This position collaborates with other OTS departments as well as with other areas of the college.

ESSENTIAL JOB FUNCTIONS:

Data Entry

Performs data entry tasks, according to department time frames. Compiles data, verifies accuracy, and sorts information for entry. Reviews data for deficiencies and errors and makes corrections. Transfers data from paper formats into electronic format, as needed. Prepares departmental reports for budgetary review and account balancing. Facilitates timesheet processing under the direction of department leadership.

Accounting Support

Performs administrative and record keeping functions. Processes invoices. Scans and uploads hard copy and electronic documents into the approved document management system. Files accounting information after processing. Prepares and distributes reports, as assigned. Sets up and tracks POs and BPOs.

Customer Service

Responds to internal and external inquiries in a timely and professional manner. Communicates fiscal information verbally and in writing. Resolves customer issues. Follows up on outstanding invoices. Develops business relationships with customers.

Administrative Support

Uploads electronic documents into the approved document management system. Manages calendars, schedules meetings and provides clerical support for Assistant Director. Prepares and distributes reports, as assigned. Assists in preparing proposals for external business partners. Orders materials upon request.

Other Duties & Responsibilities

Attends all required department meetings and trainings. Hours may include occasional evening, night, and weekend hours. Manages multiple assignments and meets tight timelines and deadlines


Physical Requirements

While performing duties of this job, the employee frequently sits at a desk, and regularly stands and walks. Frequently talks and hears on the telephone and in person with office visitors. Frequently exhibits close vision requirements when working on the computer equipment. Frequently uses hands to handle and feel, exhibit digital dexterity when performing production typing, word processing and other computer applications. Employee occasionally lifts up to 10 pounds.





Working Conditions

Typical Office environment. Regular exposure to moderate noise typical to business offices.

Knowledge, Skills and Abilities:

Knowledge of: general payroll practices; business related software, including Microsoft Office applications (Work, Excel, Outlook, PowerPoint); standard office procedures and practices.

Skill in: typing [35-55 wpm]; application of job software including word processing and spreadsheets; customer service; listening; attention to detail; office organization; creating functional report formats; verbal and written communications; performing mathematical calculations including addition, subtraction, multiplication, decimals, percentages and fractions.

Ability to: develop and maintain effective working relationships with associates, vendors, students, telephone users and general public; maintain confidential and sensitive information; use good judgement; excellent listening skills; effectively work with persons of varying cultures and diversity; problem solve effectively; exhibit a pleasant public manner and telephone etiquette; maintain accurate and complete work records.

Minimum Qualifications:

High School Diploma or GED with at least one (1) year of progressively responsible professional experience. State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s). An appropriate combination of education, training, coursework and experience may qualify a candidate.
