CONTEXT OF THE JOB:
Under general direction of the Manager, Academic Maintenance & Operations, the Maintenance Supervisor is responsible for the day to day supervision of the maintenance shops, Academic Carpenters, Upholstery, and Paint Shop to ensure efficient and effective service delivery. The Supervisor coordinates the work schedules of unionized mechanics and contractors; provides direction to mechanics; inspects work sites; investigates and resolves problems independently and proposes modifications and/or changes to equipment and preventive maintenance schedules. This position will also interface with the Planning & Scheduling function for coordination of shop schedules and job plan development. The Supervisor must maintain a high level of current technical knowledge of the assigned equipment and systems.

Assists Manager with evaluating campus corrective maintenance issues, developing corrective action plans, securing funding when needed and planning and scheduling repairs or minor projects.

Assists Manager in the communication with the RFS manager and the PPD department as it relates to RFS work being accepted and needing the planning and scheduling of UD resources or contractors.

Assists the current Supervisor that oversees all furnishings changes associated with extended housing operations and the transfer of furnishings into and out of storage.

MAJOR RESPONSIBILITIES:
  • Assists in determining workforce needs, material or equipment needs and/or changes as appropriate.
  • Performs inspections to evaluate, establish and implement short-and-long-range goals as well as ensure adherence to specifications, compliance with University, State, and Federal laws, policies, industry standards and client requirements.
  • Reviews and evaluates design drawings and job layouts to help assure installation of equipment and systems meets University guidelines.
  • Supervises assigned personnel which includes work allocation. Monitors staff's activities, prioritizes and schedules work assignments as directed by the Manager(s).
  • Coordinates and schedules maintenance and repair work with other shops verbally and in writing.
  • Reviews job plans and related processes for the efficient use of resources, materials, and technical application, and makes recommendations for improvements accordingly.
  • Communicates verbally and in writing with Planning & Scheduling office and department heads to coordinate operation.
  • Evaluates performance and makes recommendations for personnel actions.
  • Motivates employees to achieve peak productivity and performance.
  • Completes employee forms such as vacation, sick, and accident reports.
  • Administers work forms and the collective bargaining agreement and other work policies.
  • Participates in the grievance process.
  • Participates in interviews and the hiring of hourly staff, recommends changes to staffing as appropriate.
  • Mentors continuous improvement through employee engagement.
  • Supervise, coordinate, and direct activities of two student workers throughout the year in oversite and performance of public area inspections of furnishings inventory, damages, and replacements.
  • Reviews associated work practices such as procurement, MRO and safety for compliance with current guidelines, policies and codes.
  • Enforces and makes recommendations for safe working practices and conditions in all operating areas by inspecting equipment and facilities throughout campus.
  • Maintains and communicates all Material Safety Data Sheets (MSDS) related information.
  • Inputs repair and maintenance records via Maximo Computerized Maintenance Management System (CMMS) on assigned equipment throughout the campus.
  • Maintains daily logs and reports on system trends for the Manager(s).
  • Maintains and enhances inventory system, maintain data base records and files of student and public area furniture and appliances, deferred maintenance of furnishings, and product specifications.
  • Completes administrative tasks and provides related reports: i.e., monthly billing reports for material charges, equipment and supply inventories, uniform and supply requisition forms, and quality control inspection reports.
  • Analyzes technical operations and information for changes, additions, improvements and make proposals to management.
  • Performs inspections of Registrar owned classrooms, develops corrective maintenance plans prior to the end of each Spring semester and facilitates completion of work through UD work forces or contractors as needed.
  • Plans and coordinates all Res Hall blitzing efforts for buildings needed for Alumni weekend and all remaining Res Halls throughout the remainder of the summer.
  • Plans and coordinates these efforts with Custodial and through planners and schedulers.
  • Participates in management development programs.
  • Coordinates with management regarding collective bargaining agreement.
  • Coordinates other contractual agreements with outside vendors, as assigned.
  • Works with manager identifying masonry repairs and caulking needed across campus, contacts contractors and coordinates with manager for approval, funding request and PO needs to initiate work.
  • Provides back up and support to Manager, Residence Hall Maintenance & Operations.
  • Performs miscellaneous job-related duties as assigned.

QUALIFICATIONS:
  • Minimum of a high school or trade school diploma with five years' experience in maintenance management of structural, mechanical systems and cosmetic improvements.
  • Three years supervisory experience in a union shop.
  • Strong interpersonal skills.
  • Must be assertive, tactful, self-motivated, and communicate effectively both verbally and in written format and possess.
  • Knowledge of customer service standards and procedures.
  • Knowledge of planning and scheduling techniques.
  • Knowledge of organizational structure, workflow, and operating procedures.
  • Ability to interact with all levels of the university community.
  • Ability to make administrative/procedural decisions and judgments
  • Ability to develop, plan, and implement short and long-range goals.
  • Ability to supervise and train assigned unionized staff including organizing, prioritizing and scheduling work assignments.
  • Ability to foster a cooperative work environment
  • Ability to develop and maintain record-keeping systems and procedures, and basic computer skills to include but not limited to proficiency with word-processing, spreadsheet and database.
  • Ability to perform quality control inspections.

SPECIAL REQUIREMENTS:
  • Individual must have a valid driver's license and regular access to private, reliable means of transportation in order to maneuver throughout the Newark campus and other U/D locations when operationally necessary.
  • This position is an essential personnel position, which often times requires the employee to report to work at varying times for UD closing events.
  • Ability to work a flexible schedule.
