Position Summary
Position Summary:*
The Executive Assistant is part of a team of high-level professional and management support personnel responsible for the effective and efficient operation of the President's Office.

This position has primary responsibility for duties working with diverse constituencies on a daily basis; both face-to-face and on the phone, requiring expertise in advanced and complex issues relating to and communicating with varied audiences on behalf of the Office of the President, including answering and routing calls, greeting and assisting visitors, scanning and archiving correspondence, and processing invoices and reimbursements.

The EA provides executive support for the Assistant Vice President and Advisor to the President on Sovereignty and Government to Government Relations, and the Senate Secretary and Advisor to the President, including scheduling and calendar management, administrative projects, coordinating travel and reimbursements, and other duties associated with both offices.

Under the direction of the administrative manager, this position also provides direct confidential administrative assistance to the president as needed and directed; along with others in the president's office, including scheduling, correspondence, and travel.

The position requires a high degree of personal initiative, flexibility, attention to detail and organization, the ability to anticipate problems and accurately assess and manage multiple competing priorities, exercise good judgment, and demonstrate excellent administrative and interpersonal skills.

The EA's responsibilities are performed independently in an environment that requires high levels of sensitivity, confidentiality, and cultural awareness. The EA interacts regularly with UO leadership, faculty, staff, and students, while also engaging with internal and external partners

The EA must exhibit professionalism, collegiality in a team environment, and the ability to create a welcoming, inclusive, accessible, and professional atmosphere in the office.

This position reports directly to the Administrative Manager.

This position is eligible for one remote workday per week as determined by staffing levels.
Minimum Requirements
Bachelor's degree or an equivalent combination of skills, education, and experience.

Minimum of three years' experience providing administrative or executive support that includes scheduling and calendar management.

Proficiency with all Microsoft Office programs, and direct experience managing/coordinating a busy calendar using Outlook.
Professional Competencies
Excellent computer and software skills, including all MS Office programs, in particular Outlook, Word, Excel, and PowerPoint, as well as Adobe Acrobat.

Demonstrated high-level organizational skills with the ability to exercise sound independent judgment, prioritize effectively, and manage time and stress well in a fast-paced, detail-oriented, and time-sensitive environment.

Possess excellent oral and written communication skills to produce correspondence, documents, reports, and presentations using impeccable grammar and proofreading skills.

Ability to manage stressful, and often confidential, situations with tact and diplomacy.

Models customer service principles (listening, empathy, patience, respect, responsiveness) and contributes positively to team dynamics.
Preferred Qualifications
Higher education experience strongly preferred

Five years' professional work experience as an executive assistant in a fast-paced environment.

Experience with Microsoft Teams.

Experience with Banner, Concur, and/or similar information system.

Project management experience coordinating administrative projects.
