Position Information

This is a full-time, permanent (probationary) position.

The salary range for this classification is: $3,276 - $5,148 monthly.

Major Duties

Under the general supervision of the Athletics Director and in coordination with the Budget Officer as well as the Athletics Executive Support Coordinator, the incumbent performs a variety of administrative duties to assist with daily operations in athletics. Coordinates the scheduling and maintenance of athletic 12-passenger vans as well as the athletics department's facilities. Serve as liaison to Procurement to coordinate rental agreements. Monitors and disseminates student worker assignments and schedules. All IT help tickets, physical plant work orders, and key requests as it relates to the athletics department. Provides support to Budget with the preparation of documents for reconciliation, tracking, and reporting.

Qualifications

Required Education: Normally be obtained through a high school program, technical/vocational program, or their equivalents

Required Experience: Three (3) years of related office work experience.

Knowledge, Skills and Abilities:

Knowledge of: Correct English grammar, spelling, and punctuation - office methods, procedures, and practices - records management practices - standard and computerized office systems and equipment - ability to prepare formal business letters, memos, and reports.

Abilities to: Coordinates administrative support tasks for fast-paced office, prioritize work/projects on deadlines and complete accordingly - schedule and distribute work assignments due to shifts in priorities to ensure accuracy - maintain complex records and files - prepare correspondence, charts, and statistical outlines using computerized systems - answer telephones and assist callers and visitors with desired information and refer to appropriate departments as needed -learn, independently interpret, and apply a wide variety of complex policies, procedures and operations of the department as they relate to an academic environment - interact with a variety of clients on and off-campus and handle the stress of a busy office - read and write at a level appropriate for the duties of the position- perform arithmetic computations accurately- establish and maintain effective working relationships with coworkers and others.

Skill in: Proficiency in the use of computerized office systems and software programs that perform word processing, spreadsheet, and database programs.

Preferred Qualifications:

Bachelor's Degree from an accredited university

Equivalent to three years of progressively responsible Athletics Administrative or technical office management experience. Experience in an administrative office within an academic setting. General knowledge of payroll rules and regulations as it pertains to the University and a basic knowledge of the PeopleSoft systems currently in place, specifically those which relate to student-athletes or Intercollegiate Athletics.

Responsibilities

50% - Coordinate the scheduling and maintenance of athletic 12-passenger vans as well as the athletics department's facilities. Serve as liaison to Procurement to coordinate rental agreements. Collaborates with the Game Operations Coordinator. Monitors and disseminates student worker assignments and schedules. All IT help tickets, physical plant work orders and key requests as it relates to the athletics department.

40% - Provides support to Budget with the preparation of documents for reconciliation, tracking, and reporting. Emails to staff, memos populating spreadsheets, travel paperwork and other related materials.

10% - Other duties as assigned by the Athletic Director, Budget & Support Coordinator.
