Position Information

Position Title Senior Associate Registrar Overview
Provide leadership and maintenance in the management of student records to include the retention and security of all academic records of the College’s undergraduate and graduate programs, and the School of Continuing Education. In collaboration with the Registrar, formulate and implement administrative/academic policies pertaining to recordkeeping, and reinforce the identity, structure, and culture of the office. Essential Duties:
  • Create and implement all necessary office procedures and support the office’s operational goals. Directly supervise staff and their development through monitoring of performance, coordination of staff responsibilities, delegation of projects and assignments, and completion of performance reviews. Oversight and responsibility for the functions of transcripts, grading, end-of-term processing, veteran’s benefits, and adhoc and external reporting for the National Student Clearinghouse. In consultation with the Registrar, authorize expenditures ensuring operational efficiency and prepare the annual budget with regard to previous year spending and new initiatives. Monitor expenses. Formulate, implement, and enforce College policies and procedures related to student records. In collaboration with the Registrar work with other offices to review and/or develop policies and procedures relative to student academic records. Seek to continually improve and implement new services in line with the office’s goals for intuitive self-service and accurate data. In accordance with FERPA and AACRAO, interpret and apply the academic rules and regulations of the institution. Maintain and protect the privacy of student education records as governed by FERPA and AACRAO best practices.
  • Manage the collection, processing, and reporting of student data for the entire student population across all three schools; undergraduate, graduate and continuing education. Oversee the mapping, scanning, and retention of electronic records, end-of-term processing for all three schools, updating of all student records to include repeat processing, missing grades, GPA calculations, class rank, academic standing, and graduation. Process requests for internal, ad-hoc reports and external reports for the National Student Clearinghouse.
  • Continually review and assess current operational procedures in order to keep the student information system up-to-date in relation to policies, procedures, new regulations, best practices, and services; particularly with regard to the development of relevant, on-line services. Liaison with Information Technology on administrative needs, data retrieval, and reporting. Interpret the academic needs of the College to ensure that technology supports policies and standards. Develop, implement, and provide secure, consistent on-line services for faculty, staff, students, and alumni.
  • In collaboration with the Registrar, develop an assessment plan for continuous improvement as part of the office’s annual assessment report. Oversee the office’s assessment program and initiatives, including production of annual assessment report by identifying areas for review and analysis in collaboration with the Registrar. Meet with the Institutional Effectiveness staff as needed for assistance in clarifying and defining areas for analysis and means of obtaining data for annual assessment reporting.

Education and Experience Required
  • Master’s Degree from an accredited institution required;
  • Five years’ of progressively responsible administrative experience, with prior supervisory experience in higher education or equivalent combination of experience and training;
  • Advanced level of computer skills with a student information system, preferably Ellucian Banner and Microsoft Office suite;
  • Excellent technical and analytical skills;
  • Wide range of skills in collecting and reporting data;
  • Strong customer orientation, communication, organizational, and problem-solving skills;
  • Professional demeanor and the ability to represent the office and the College in a professional manner;
  • Ability to work cooperatively on College committees and with administrative colleagues, faculty, staff, students, and alumni;
  • Excellent interpersonal skills;
  • Strong management/leaderships skills, and sound judgment in decision-making;
  • Experience working in a data-driven, student-oriented, outcomes-based environment;
  • Experience overseeing the operational aspects of a fast-paced, service-oriented unit;
  • An understanding of the work of a Registrar’s Office, including processes, responsibilities, timing of activities, and how these relate to the constituents the office works with and serves;
  • Experience in the hiring, supervision, management, development, and performance evaluation of support staff;
  • Demonstrated ability to build consensus and foster teamwork among a variety of stakeholders;
  • Excellent interpersonal, leadership, and communication skills (written and verbal);
  • Forward-thinking, student-centered, and service-oriented approach;
  • Highly motivated, organized, and able to produce with a high level of output and precision;
  • Use of creative problem solving to address issues and seek resolutions for recurring issues, employing technology where possible;
  • Ability to manage multiple tasks with frequent interruptions, set priorities, and work independently, but also as an effective team leader;
  • Knowledge of FERPA and AACRAO best-practices and federal and state reporting requirements as they relate to the operations of a Registrar’s Office and campus compliance.
