Faculty Services Manager

About the Opportunity

The Faculty Services Manager at Northeastern University School of Law oversees the law school's Faculty Services Team (FST) providing academic administrative support to law faculty. The FST supports faculty members with letters of recommendation for student success, assisting with reimbursements and reconciling University AMEX statements, hiring student workers and processing weekly time-sheets, and on-ground support for office and breakroom supplies. The Team also supports the part-time faculty from syllabi to evaluations and managing access to the part-time faculty shared offices.

The Faculty Services Manager will provide oversite, direction, and workload balancing across the Faculty Services Team (FST). The Faculty Services Manager is expected to learn and become the subject matter expert on the policies and processes of the FST team. As the School of Law and the University as a whole continues to grow, changes to policies and processes can be expected. The Faculty Service Manager is expected to adapt policies and processes to adjust to these changes, as they will be responsible to train and develop the FST team members.

MINIMUM QUALIFICATIONS:

Solid office administrative skills including common software tools like Microsoft Office. Ability and willingness to learn new systems and software quickly and well; keen attention to detail; excellent time management and organizational skills; demonstrated ability to prioritize competing demands and work in a fast paced environment; demonstrated adaptability, with the ability to navigate nuances, policy changes, and programmatic changes as they arise. Ability to represent Northeastern University School of Law in a professional manner with a strong customer service and team focus. Knowledge and skills required for this position are normally obtained through a Bachelor's degree with at least 3-5 years of experience in management, including managing a small team. Minimum of 3 years of experience working in an academic setting. Preferred Qualifications: experience working in a law setting and/or higher education. Demonstrated knowledge in the automation and streamlining of administrative processes.

KEY RESPONSIBILITIES & ACCOUNTABILITIES:

1) Oversee Academic Administrative Support Program (Faculty Services Team): The Faculty Services Manager will oversee workflow of the FST and will supervise the completion of all assignments. Manage the balancing of work across Administrative Coordinator - Faculty Services to ensure that work assignments are disseminated and completed in an efficient, responsive way. Serve as the first point of contact for the members of the team regarding work assignments, time tracking, and other personnel matters. Develop and implement services, policies, practices, and systems to increase organizational effectiveness within the FST. Serve as the lead contact for faculty event planning in coordination with the event specialist as well as oversight and reconciliation of event and faculty services budgets. In addition, they manage student worker processes (~70+ students supporting faculty per semester) and process optimization.

2) Manage Faculty Services Orientation: Manage delivery of services to new faculty (including part-time faculty) across the law school and University departments. This includes close collaboration with the Office of Academic and Student Affairs, HR & Budget Coordinator, Law Library, Computer Services, and facilities to facilitate continuity of service and integration into the faculty community.

3) Supervision, Training & Staff Development:

The Faculty Services Manager will ensure that all members of the support team have the training necessary for developing the knowledge, skills, and ability to provide support to School of Law faculty, programs, and departments in a hybrid environment. This includes performance reviews and development within their team.
