Summary/Objective

The Senior Coordinator, Financial Operations is responsible for coordinating the day-to-day business operations essential to carrying out purchasing, payroll, and other financial transactions associated with the operating budgets of the Office of Undergraduate Education and Academic Student Services (UEAS).

Position serves as the primary contact for financial administration, part-time staff human resource management, and other various administrative and resource management issues to ensure the needs of UEAS and University community are met.

Essential Functions
  1. Financial Administration:In consultation with the Director, the incumbent serves as primary contact for all budget-related issues for UEAS’s operating and non-restricted internally designated accounts. Works with units within UEAS to provide expert customer support on financial issues. This position functions as main point of contact to various internal University departments including Accounts Payable, Payroll, Procurement & Contracts, Accounting, Human Resources, Facilities Management, Financial Aid, and the Budget Office in order to ensure compliance with various university policies. In consultation with the Director, this position reviews and approves purchase requisitions for the procurement of goods and services as well as all disbursement requests, invoices, travel reimbursements, student payments, and cash advances while ensuring compliance with University’s AP and PCD policies.
  2. Human Resource Management:Responsible for staff and faculty human resources/payroll processes in the unit and managing university human resources/payroll policies and procedures to ensure compliance and employee/unit needs are met. Ensures that human resources transactions are processed accurately and in a timely manner.
  3. Academic Administration:Review all Professional Service Agreements, Memoranda of Agreement, and other contracts to ensure that all terms are in line with University policies for submission to the Director, Procurement & Contracts, and/or General Counsel.
  4. Supervision:Hires, trains, and supervises one full-time staff member. This includes coaching, mentoring, providing regular feedback, and managing performance.
  5. Technology & Operations:Acts as a liaison between OIT and PCD, including Asset Management, and UEAS units for technology requests including, but not limited to, computer hardware, computer accessories, nextGen replacement, software licenses Maintains hardware inventories.
  6. Other duties as assigned.



Supervisory Responsibility
  • Reporting directly to this position is the full-time Administrative Coordinator. Part-time and student workers may report to this position.
Position Type/Expected Hours of Work
  • Full Time, 35 hours/week, M-F.
  • Sr. Coordinator/Analyst B.
  • Non-Exempt.
Required Education and Experience
  • Bachelor's degree or equivalent.
  • ​2-4 years of relevant experience
  • Minimum of 2-4 years of relevant experience at the executive office level required, preferably in higher education. Must be able to work independently and accurately and make reasoned decisions on short notice. Demonstrated ability to identify goals, plan and execute complex projects independently.
  • Must be able to manage multiple tasks concurrently and adapt to changing priorities. Demonstrated ability to use independent judgment and discretion with general supervision.
  • Highly developed interpersonal skills, the ability to deal properly with confidential material, and the ability to represent UEAS within a variety of activities. Demonstrated ability to work with a diverse range of people in various circumstances. Excellent interpersonal and communication skills.
  • Excellent analytical and computer literacy skills required. Expert use with full complement of MS Office applications, advanced level with Excel.
