Job Description

Supports cancer center director and manager(s) with daily coordination of the cancer center administrative office; completes clerical tasks; coordinates calendars & meetings, attends leadership meetings and takes detailed meeting minutes, stores data in an appropriate filing system, communicates with the director and manager daily.

Provide administrative support, most often involving highly confidential and/or sensitive materials and situations. Staff various meetings, create summary reports, and prepare for distribution.

Greet visitors, receive and respond to incoming calls in a courteous and authoritative manner; determine needs, redirect to others as appropriate; manage calendar and schedule appointments, determine executive’s availability for discussions, and follow up to ensure timely response.

Makes travel arrangements and reservations for cancer center director, associate directors, program directors, and manager(s).

Assist in preparing the executive for meetings. Anticipate information needs such as including itineraries, supporting documents, and materials; arrange information folders. Brief executive prior to meetings.

Logs data into spreadsheets and documents, maintains log of contacts, activities, and meetings.

Maintains email listserv.

Prepare correspondence, reports, and other materials from rough draft or dictation. Compose letters involving routine matters, acknowledgements, and other subjects.

Implements office policies and procedures, and ensures professional communication and coordination with other campuses, departments, staff, students, and faculty.

Maintains office inventory and coordinates supply procurements for the department ensuring fiscally responsible purchases.

Engages in professional development activities .

Other duties as assigned.

Salary

Salary Range: $16.92 - $30.68/hour

Grade: GGS-008

8:00 a.m. – 5:00 p.m.

Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

In depth understanding of office management; Strong organizational and time management skills.
Working knowledge of office equipment, like printers and fax machines, working skills in Microsoft
Office Suite (Word, Excel, PowerPoint, OneDrive, Teams, SharePoint, and Outlook)
