The Transportation Coordinator coordinates comprehensive and routine scheduling and allocation of the university's motor pool vehicles. It is also responsible for scheduling the limousine/car services, bus companies, and oversees the scheduling and assignments of university casual drivers. This position provides estimates for the best means of travel (cost effective and efficient) . The transportation coordinator acts as the liaison between Bucknell University and Enterprise Rental Car Company in assisting with the university reservations. This position also supports the University Switchboard in answering and directing phone calls, scheduling guest housing, etc.

This is a full-time position, thirty-five hours a week, with full benefits, that reports to the Director of Non-University Events & Support Services. The shift includes nights and weekends with essential shifts required during large university hosted events. This person must have flexible availability as the work schedule for this position includes all shifts (days, evenings, and weekends).

Job Duties:
  • Maximize vehicle use of the vehicle pool by coordinating the scheduling of transportation needs for academics, administration, athletics, and student groups/organizations.
  • Coordinate all requirements with an initial vehicle request, including scheduling transportation arrangements, confirmation, driver certification, vehicle release, key distribution and driver (if needed).
  • Responsible for data entry (EMS upload of final invoice) into database for departments and organizations billing.
  • Responsible for ensuring that the Transportation Services Policy is followed and taking appropriate disciplinary action when applicable.
  • Manage and reconcile monthly billing with outside bus companies and limousine services
  • Ensures certificates of insurance for outside bus companies and limousine services are updated annually.
  • Receive and address vehicle maintenance issues, including break downs and mis-located vehicles. Coordinate vehicle maintenance with Facilities.
  • Manage yearly driver registrations for students and staff.
  • Manage/oversee the reservations made via Enterprise as well as managing the operation of invoice/charging of vehicles to designated university credit card.
  • Reconcile transportation services budget monthly.
  • Manage/Oversee EZ Pass transponders when placed in university fleet
  • Serve as a member of a committee in determining university fleet purchases.
  • Supervise and schedule drivers and approve their time slips.
  • In consultation with the director and executive director, make determination to "ground" fleet due to inclement weather, when appropriate.
  • Update vehicle/driver scheduling policies and procedures with director.
  • Conduct training for student groups and organizations on the current transportation policy.
  • On occasion, serve as a Driver when needed
  • Responsible for key distribution of vehicles and guest housing in conjunction with the Switchboard.
  • Maintain working knowledge to support other aspects of the Events Management office including, but not limited to, Switchboard, Keys, Lost & Found,
    Guest Housing, Summer Camps and Conferences.
  • Support the mission of the University and maintain high standards by providing quality service and working collaboratively.
  • Other duties as assigned.

    Minimum Qualifications:
  • High School diploma or equivalent
  • Exceptional communication skills.
  • Minimum of 2 years of experience and demonstrate the ability to provide outstanding customer service, computer experience, general accounting skills - invoicing, reconciling, etc. in an office setting.
  • This position requires excellent organizational and communication skills, orderly and methodical working style, proficient follow through and follow up skills, and a positive personality who is proactive.
  • Ability to respond quickly and efficiently to emergency situations.
  • Demonstrate the ability to manage multiple responsibilities, to adjust priorities in a very busy environment, and work independently.
  • Proficient with computer systems, the internet and standard office equipment is essential.
  • Valid US driver's license

    Preferred Qualifications:
  • Previous office/receptionist experience is helpful.

    Physical Demands:
    Office environment, ability to make quick, thoughtful decisions in stressful or emergency situations.
