Operations Manager



Position Title Operations Manager The Opportunity Under the direction of the Director of Student Life Business Administration (SLBA), the Operations Manager will oversee several operations within the SLBA portfolio. Operational oversite of, voluntary meal plan program, food vending contract, Blaster’s Basket food pantry, SLBA and Blastercard websites, RTD College Pass program, and marketing aspects of dining and bookstore contracts all fall within the scope of this position. Examples of the work include supporting the voluntary meal plan purchase process by assessing charges and reconciling any discrepancy with customers, daily maintenance of the vending contract which includes calling for services, ordering new services and reconciliation of the commissions received., updating the websites for the card office, food pantry and other sites related to the Student Life Business Administration Office, working with dining and bookstore contractors to develop marketing plans and managing the daily operations of the food pantry including maintaining inventory, working with relevant committees to improve food insecurities on campus, and making recommendations to improve the pantry. The Operations Manager will also perform the administrative duties of reconciling the RTD passes, processing Banner Affiliate forms, paying re-occurring invoices and receiving payments.  Responsibilities

VOLUNTARY MEAL PLANS PROGRAM
  • Increase participation through marketing strategies by working with partners at Sodexo to create and distribute marketing materials for potential customers.   

  • Processing the student account assessment for meal plans purchased. 

  • Reconciling discrepancies from customers using computer systems to track payments, invoices, and determining if policies and procedures were followed, escalating cases to supervisor as needed.  

  • Maintaining the campus card website which includes the voluntary meal plan portal. 

WEBSITE AND MARKETING
  • Maintaining and updating the websites for the card office, food pantry and the other sites as needed. Collaborate with dining and bookstore contractors to create a marketing plan for each academic year.  

MANAGING THE FOOD PANTRY
  • Managing the daily operations of the food pantry. This may include overseeing student workers, checking inventory, purchasing food and food supply items for the pantry, and ensuring quality food items are available in a clean and accessible manner. 
  • Collaborate with student groups whose focus is student food insecurities. The Operations Manager will participate on campus committees that focus on food insecurities for students, working collaboratively to determine marketing strategies, pantry locations, and ensuring inclusivity and accessibility for pantry users.  

  • Collaborate with other campus organizations that have food drives which support the food pantry such as campus Oregivers .  

ADMINISTRATIVE DUTIES
  • Reconciling RTD passes and notifying RTD when passes expires 

  • Process Banner Affiliate Forms for dining services and bookstore 

  • Reconciling affiliate staff records with contractors and ITS 

  • Paying re-occurring invoices for services like bottled water, plant maintenance and pest control 

  • Receiving of payments, logging, and forwarding for deposit 

  • Reconciling credit card transaction in Chrome River for the director and campus card manager 

VENDING CONTRACT MANAGEMENT
  • Ordering new equipment as needs change on campus 

  • Calling the vendor for service when machines are out-of-order 

  • Reconciling the monthly commission checks 

Minimum Qualifications Bachelor’s degree in higher education, marketing & communications, business administration or other related fields. Five years of office administration will substitute for the bachelor’s degree. Preferred Qualifications

Education and Experience:  
  • 2 years of higher education experience, specifically in auxiliary services or contract management 

  • Ability to create and/or develop new web content and pages—including graphics—as well as the ability to populate and maintain websites.   

Knowledge, Skills, and Abilities:
  • Strong organizational skills 

  • Effective interpersonal skills  

  • Proved problem-solving and decision-making skills  

  • Familiarity with Microsoft Word, Excel, Outlook, PowerPoint, Forms, Teams, SharePoint

  • Exceptional written and oral communication skills with demonstrated sensitivity to the protection of privacy for all individuals involved  

  • Demonstrated ability to interact effectively with constituents and stakeholders from diverse backgrounds  

  • Skilled in problem-solving and able to take initiative

Pay Range

$50,700 - $59,700

Mines takes into consideration a combination of candidate’s education, training and experience as well as the position’s scope and complexity, the discretion and latitude required in the role, work location, and external market and internal value when determining a salary level for potential new employees.
