SUMMARY :

The Payroll Coordinator performs all activities necessary to process payroll; including maintaining related records, filing tax reports and voluntary deductions reports. Processes involuntary deductions (i.e. levies and garnishments), preparing documents for audits, and generating reports for governmental compliance/management etc.

RESPONSIBILITIES :
  • The Payroll Coordinator performs all activities necessary to process payroll; including maintaining related records, filing tax reports and voluntary deductions reports. Processes involuntary deductions (i.e. levies and garnishments), preparing documents for audits, and generating reports for governmental compliance/management etc.
  • Ensuring status changes and audits of time records are accurate and any discrepancies are addressed and resolved.
  • Filing required documents and reports according to government, state and federal payroll guidelines (i.e. W-2s, unemployment data, garnishments, etc.).
  • Responding timely to e-mails, telephone call, letters, etc. regarding payroll questions and inquires; researching records and providing resolve.
  • Providing account reconciliations with General Ledger balances, benefits vendor billings, taxes, and other deductions. Working closely with the Financial Department.
  • Keeping current with HR payroll policies and public policy changes affecting payroll rules and guidelines; incorporating the changes into Carthage’s policies and procedures for payroll processing.
  • Programing and/or setting up annual health insurance benefits plans in Workday.
  • Performs other duties as assigned.
ESSENTIAL FUNCTIONS :
  • Processes employee payroll information (timesheets, deduction authorizations, etc.), prints or transmits paychecks, ensuring accurate and timely payment made to employees for each payroll period.
  • Ensures status changes and audits of time records are accurate and any discrepancies are addressed and resolved.
  • Files required documents and reports according to government, state and federal payroll guidelines (i.e. W-2s, unemployment data, garnishments, etc.).
  • Responds timely to e-mails, telephone call, letters, etc. regarding payroll questions and inquires; researching records and providing resolve.
  • Provides account reconciliations with General Ledger balances, benefits vendor billings, taxes, and other deductions. Working closely with the Financial Department.

  • Completes payroll reconciliations of all deductions, ensuring accuracy including operation of transmittal feeds.
  • Performs other duties as assigned.
MINIMUM EDUCATION :
  • High School Diploma.
  • Associate’s Degree in Business, Accounting, or in a job-related major is strongly preferred.
  • Certified Payroll Professional (CPP) or National Payroll Certification strongly preferred.
MINIMUM EXPERIENCE :
  • Minimum of three years of experience with processing payroll.
  • Ability to work with Workday, ADP, and/or similar payroll software.
  • Experience with MS Office, more specifically using Excel to compute rates, ratios, and develop pivot tables.
REQUIRED SKILLS, ABILITIES, AND/OR LICENSURE :
  • Solid communication skills both oral and written.
  • Demonstrated strong attention to detail, problem solving, critical thinking, and analytical skills.
  • Excellent time management and organizational skills.
