Our West Campus is located at 2400 Gillionville Road, Albany, GA 31707. Our East Campus is located at 504 College Drive, Albany, GA 31705. The Human Resources office for both campuses is located on the West Campus in Building K, Suite 111.

Job Summary

Perform a full range of administrative, programmatic, and technical duties in support of the basic needs program at Albany State University; coordinate assigned functions, activities, and services of the basic needs program area including to oversee and participate in providing students, staff, and others with specialized information, case management services, training, and assistance related to students' basic needs including food, housing, counseling services, and/or off campus resources; coordinate with campus and community organizations to obtain resources for students and to promote student success, retention, and completion by removing barriers to their education; and perform a full range of the more complex program support and clerical assistance duties in support of the basic needs program area.

Responsibilities
  • Participate in the administration of the basic needs program area; plan, organize, and coordinate assigned functions, activities, and services of the basic needs program area; perform a full range of technical, program support, case management, and clerical duties in support of the basic needs program area; coordinate with other departments and program areas; ensure activities and operations comply with basic needs program requirements.
  • Participate in the development and implementation of goals, objectives, policies, and priorities for the basic needs program areas; research, implement, and administer policies, procedures, and changing business practices and processes for assigned area; develop and maintain handbooks, forms, and related policies and procedures.
  • Coordinate the planning, design, and implementation of basic needs program elements that support service delivery; participate in processes to define scope and schedule of services and activities; participate in implementation processes.
  • Oversee the development of resources, programs, events, and services to support students' basic needs including housing, food, mental health, and employment; establish local and regional collaborative relationships and partnerships with business entities, community organizations, and local educational agencies pertaining to student basic needs; partner with food bank affiliates, housing resources, and other non-profit entities to support students to secure resources.
  • Coordinate college-wide food pantry efforts; coordinate and provide work guidance to volunteers and student workers; order, receive, and stock food items; maintain food quality controls.
  • Serve as a representative on various committees and other basic needs-related projects.
  • Provide technical information, assistance, referrals, and case management services regarding the basic needs program area to students, staff, and the general public; refer students to applicable community, business, and governmental agencies as well as appropriate student and academic support services offered by university interpret and explain program applications, policies, procedures, requirements, and restrictions; develop promotional and informational materials for distribution on and off campus; maintain assigned resource material and library.
  • Understand and ensure compliance with Clery, FERPA, and Title IX law and support services; work closely with the Title IX Office; serve as a mandatory reporter.
  • Provide assistance in resolving operational and administration problems; identify problem areas and issues; conduct research to find alternative solutions; make recommendations; assist in implementation of recommendations.
  • Plan, organize, schedule, and conduct orientations, workshops, seminars, class presentations, Meetings, and other activities related to the basic needs program area; plan joint events and participate in planning and implementation meetings with other University departments and programs, and business and community representatives; arrange and confirm speakers; reserve facilities and make other necessary arrangements.
  • Compose, format, prepare and distribute correspondence, memoranda, publicity materials, surveys, brochures, flyers, bulletins, reports, presentations, and other materials; create and disseminate outreach materials to support the basic needs program.
  • Establish and maintain records including student records; maintain complex, interrelated filing systems; maintain confidentiality of information.
  • Utilize electronic technology and various computer applications and software packages to correspond with others, maintain assigned calendars, schedules, and appointments, and maintain and generate reports from a database or network system.
  • Perform related duties and responsibilities as required.
Required Qualifications

Bachelor's Degree from a regionally accredited institution in the areas of Psychology, Business Administration, or related field; Graduate degree preferred in the areas of Student Affairs, Counseling, or related field of study

And 3-5 years increasingly responsible experience working in a social service or community service capacity or a student services-oriented role at a community college or other educational institution.

Experience enough to thoroughly understand the different objectives and functions of the subunits in the division/depart to direct and coordinate work within the division/department; two or more years' experience involving Student Affairs is required.

Experience conducting record keeping and maintaining documentation in compliance with rules of confidentiality.

Experience collaborating and working on teams.

Excellent verbal and written communication skills.

Strong written and interpersonal communication skills.

Ability to work with various groups of people and the ability to build positive and effective relationships.

Strong time management skills.

Preferred Qualifications

Completed Master's degree from a regionally accredited institution in the areas of Psychology, Business Administration, or related field; Graduate degree preferred in the areas of Student Affairs, Counseling, or related field of study.

Strong organizational planning and management skills.

Knowledge of Student Conduct procedures at the college/university level.

Understanding of due process and the Family Educational Rights and Privacy Act (FERPA) related to student conduct records.

Understanding of student development theory and the ability to apply student development concepts when working with students and designing sanctions and programmatic efforts.

Demonstrated experience working with restorative practices in the student conduct process.

Experience making professional presentation.

Experience working with student information databases/systems and familiarity with FERPA privacy regulations (i.e. Maxient, PantrySoft, etc.).

Proposed Salary

Salary range from $35,000 to $52,000

  • Provide specialized assistance, training, and information to students, faculty, administrators, staff, and the public concerning the basic needs program area, functions, and resources.
  • Coordinate and conduct workshops, seminars, special events, class presentations, orientations, and tours.
  • Screen, interview, and assess needs students from various ethnic and socio-economic backgrounds. Determine best referral and support plan for students.
  • Establish and maintain partnerships with local businesses and community organizations
  • Participate in the preparation and administration of assigned budgets.
  • Exercise skills that emphasize collaboration, consensus building, conflict resolution, and problem solving.
  • Analyze problems, identify alternative solutions, project consequences of proposed actions, and implement recommendations in support of goals. Research, compile, analyze, and interpret data and information.
  • Independently compose prepare correspondence and written materials related to assigned activities.
  • Prepare a variety of clear and concise administrative and financial records. Implement and maintain filing and record keeping systems.
  • Prepare calendar of events and workshops related to area of assignment.
  • Exercise good judgment and discretion in analyzing and resolving confidential, difficult, and sensitive situations.

  • Coordinate opportunities for cross-training among existing university supports and personnel and designing and implementing new programming.
  • Expand wrap-around basic needs supports by connecting existing disparate student services (including transportation, childcare, emergency aid, benefits screening, and food assistance, etc.); planning and leading cross-training; and supporting interdepartmental collaboration.
  • Develop and maintain strategic partnerships with on-and off-campus stakeholders that support a comprehensive, multidisciplinary, and integrated approach to basic needs.
  • Develop and maintain the Basic Needs and Student Support webpage on the University's website is regularly updated, accurate, accessible, and appealing by working with marketing staff.
  • Coordinate risk management for Basic Needs activities.Confirm resolution of student concerns (i.e. grade appeals, withdrawals, complaints, etc.)
  • Assisting with Teachable Moment appointments as needed.
  • Follow-up with all students returning from illness, injury, etc. (including mental health}
  • Aid in retention efforts for at-risk students.
  • Demonstrate culturally appropriate advising, helping, and coaching techniques with students; connect students with appropriate resources and guide them through university processes
  • Accomplish special projects as assigned by the Associate Dean for Student Support and the Vice President for Student Affairs.
  • Complete day-to-day operations of the Student Food and Personal Items Pantry.
  • Train student staff on safe food handling protocols for receiving donations, stocking shelves and tracking usage.
  • Assist the Associate Dean for Student Support with keeping accurate records of the amount of food coming in and out each month.
  • Compile and analyze assessment data on food pantry usage and produce a report at the end of each semester and each academic break.
  • Attend required training for food bank membership and safe food handling.
  • Other duties as assigned.
