University Enterprises Corporation at CSUSB ("UEC") supports the university's educational mission by providing quality services that complement the instructional program. The University depends upon UEC to provide services that cannot be supported with state funds. We're responsible for business enterprises on campus including, but not limited to, dining, bookstore, convenience store, and vending services. We also serve as the grantee for federal, state, and local funding for research and sponsored projects.

Position Summary

Temporary, “non-exempt”, benefited position through 6/30/2023 (Appointment may be renewed annually based upon availability of funds, availability of work and satisfactory job performance).

Salary: $3,800.00 per month

Location: San Bernardino, CA

Program Summary:

The CSUSB College Corps will provide 75 college students, annually, with service opportunities in critical issue areas such as climate action, K-12 education, and COVID-19 recovery. Students who complete a year of service will receive up to $10,000 while gaining valuable experience serving in their communities. CSUSB is one of 45 inaugural higher education institutions participating in this service-based college opportunity program designed to help create debt-free college pathways for low-income students who commit to serve.

Work Schedule

40 hours per week. Schedule to be arranged, but typically, Monday-Friday from 8:00 am - 5:00 pm though some nights, weekend work may be required.

Typical Activities

Under the general supervision of the Assistant Director, the Program Administrative Coordinator will coordinate all day-to-day administrative, fiscal and office support functions;
  • Answer phones, route calls, and take messages;
  • Set appointments, coordinate meeting, prepare agenda, take and distribute meeting minutes and provide meeting support;
  • Coordinates the collection and submission of all time sheets, time and efforts;
  • Prepares all requests for disbursements including bankcard authorizations, petty cash, stipends, check requests, etc.
  • Submits, coordinates and tracks requests for space, parking, food-services, duplicating, mail services
  • Places, tracks, inventories and distributes supply orders;
  • Maintenance of the program database and program folders required for documentation,
  • Participates in planning, coordination, and execution of all grant activities
  • Prepares travel arrangements, travel advances and travel expense reports;
  • Collect, sort and analyze project data;
  • Ensure data integrity;
  • Completes required weekly, monthly, and other reporting in the online system;
  • Provide support to staff and Fellows utilizing the eLearns platform;
  • Assists with the preparation of required reports;
  • Screen, sort, and process external and internal correspondence;
  • Some travel to schools and/or community sites required;
  • Make presentations on data and results both internally and externally.
  • Help maintain and monitor data security protocols.
  • Support project with other requests for secondary data access and data visualizations.
  • Assist with the development of evaluation metrics;
  • Develop system for and track outputs and outcomes for participating Fellows;
  • Assist the Assistant Director with required reports;
  • Develop and track formative and summative assessment metrics;
  • Assist with the onboarding and ongoing professional development, as it relates to data and evaluation, for all project staff and stakeholders, and/or as requested;
  • Work with team and funding agency to assess data needs and create and support execution of plans to address those needs;
  • Visualize data and results electronically;
  • Maintain internally- and externally-facing scorecards that track Fellow progress in achieving their placement goals;
  • Perform all other duties as assigned;

Minimum Qualifications

Education: Applicants must possess a Bachelor's Degree

Experience: The equivalent of any combination of three years of experience in general office clerical, and data and evaluation work, preferably in a student services setting involving direct contact with diverse students and staff, is required.

Additional Qualifications: Applicants must possess highly effective oral and written communication skills; demonstrate proficiency in Microsoft Office applications (Word, Power Point, Excel, and Outlook); ability to handle confidential and sensitive information, along with the ability to work cooperatively with a diverse group of people, exercise sound judgment, determine priorities, complete assigned projects in a timely manner and work well under tight deadlines.

Preferred Qualifications
  • Bilingual (Spanish). A working knowledge of PeopleSoft applications is preferred.
