Job Details

Title:  Administrative Assistant for the Department of Nursing

Description:  Under the supervision of the Chair of the Nursing Department, the Administrative Assistant for Nursing is responsible for supporting the Department Chair in executing the non-academic aspects of the Nursing Department’s mission.  Additionally, the Administrative Assistant provides and maintains a professional atmosphere as the initial contact person between the public and the department.

Responsibilities:

  • Maintain the professional atmosphere of the nursing office while serving as the initial contact person between the public and the department
  • Manage and coordinate support activities for the operation of the Department of Nursing and provide services and resources to the department’s faculty/staff i.e. interviews, pinning, retreats, meetings with stakeholders etc.
  • Provide an initial interpretation of the departmental requirements to prospective students, their families and other interested parties
  • Coordinate all monthly Department of Nursing meetings; recording secretary for departmental meetings
  • Tracks spending according to department’s budget line; completes invoices; tracks membership fees, dues, and liability insurance
  • Maintain all department files
  • Collect nursing data for reports to the department, college, state, federal and other agencies and transcribe to Excel Spreadsheets
  • Delegate tasks to staff as indicated and to office work study students
  • Ability to create and maintain positive relationships with all internal and external constituents
  • Comply with all applicable College, Federal, State, local and association regulations
  • As a representative of the College, expected to comport oneself in a professional manner at all times, both on and off campus
  • Participate in major campus activities, including Welcome Weekend, True Blue Weekend, and Commencement Weekend
  • Perform other job-related duties as assigned

Qualifications:  Minimum requirements for this position are vocational/technical/business certification from an accredited college or university and 1 to 3 years of related experience. 

  • Confident and mature individual
  • Supervisory experience a plus
  • Knowledge of Microsoft software (Word, Excel, Office, etc.)
  • Excellent verbal and written communication skills
  • Ability to multi-task and be flexible
  • Excellent time management and scheduling abilities
