Department Summary
The College of Education (COE) is home to 3 academic departments, 14 academic degree programs, 14 research and outreach units, and the HEDCO Clinic and the HEDCO Institute. All academic departments house graduate and undergraduate programs addressing the full range of issues present in educational and social systems. Our tenure and career non-tenure track faculty in each department are devoted to inspiring and mentoring the approximately 1,500 undergraduate and graduate students in the COE who will be the next generation of educational and social science leaders. The COE has a long record of developing widely adopted, evidence-based assessments and interventions that are used in both clinical settings and in school programs that serve millions of children in thousands of schools across the country and the world. Our faculty, staff, and students have one thing in common: A spirit of discovery and dedication to creating positive change with the goal of a more equitable, educated, and healthy tomorrow.

Student Academic Services (SAS) is a unit in the College of Education that provides support to prospective and current students as well as alumni. It houses several critical student support services including undergraduate academic advising, scholarships, and licensure and field services. The office serves as the front-line staff for supporting undergraduate students' retention, progression, and graduation in the college's academic programs. In addition, it supports all COE students who are engaged in fieldwork through the administration, tracking, and official storage of field artifacts, and ensuring appropriate background clearances when required.
Position Summary
The purpose of the Licensure Programs Representative position is to provide field placement administration, licensure program administration and accreditation, assessment, and reporting support.

As part of field placement administration, this position:
  • Manages the daily operations of the COE Background Check Process.
  • Manages the maintenance and recording of field placements and their associated key assessments in the college's assessment system (currently Tk20).

    As part of licensure program administration, this position:
  • Develops an understanding and working knowledge of the overall mission and function of all licensure programs (e.g., general teacher education, elementary, secondary, special education, reading intervention, ESOL, school psychology, administration) and analyzes and interprets Oregon licensure-related policies, procedures, and rules to perform essential functions.
  • Establishes and organizes protocols and procedures to support faculty and staff to ensure proper documentation and alignment to applicable licensure procedures (with a focus on TSPC and Oregon-specific regulations).
  • Manages and establishes processes that support the accuracy of student licensure records in accordance with the retention policies of the university and the licensing agency.
  • Represents the College of Education Licensure programs externally on matters related to state licensure.

    As part of Accreditation, Assessment, and Reporting support, this position:
  • Ensures the completion of related state and federally-mandated reporting.
  • Manages the college's Quality Assurance System leveraging the college and university's data management systems.

    The Licensure Program Representative is part of the Student Academic Services (SAS) unit in the College of Education and is supervised by the assistant dean for accreditation and assessment.
    Minimum Requirements
    Two years of technical or professional-level experience advising and/or instructing the public concerning specific programs or processes, monitoring programs, or performing participant reviews.
    Professional Competencies
  • Knowledge of FERPA laws.
  • Knowledge of Oregon Revised Statutes (ORS) and Oregon Administrative Rules (OAR) applicable to the college's offerings.
  • Excellent oral and written communication skills.
  • Demonstrated attention to detail, ensuring a high level of accuracy and follow-through.
  • Ability to manage multiple tasks on varying timelines.
  • Ability to work across the Microsoft suite software.
  • Ability to work with data management and reporting systems (i.e., Tk20 and related platforms, Cognos, GradWeb).
  • Skills with sensitivity and human relations are necessary to maintain and strengthen working relationships with faculty, staff, and students from a variety of diverse backgrounds and cultures.
  • Ability to interpret, communicate, and apply administrative rules, university policies, and procedures.
  • Ability to learn quickly with an eye for detail and problem-solving.
  • Strong commitment to maintaining confidentiality.
    Preferred Qualifications
  • Bachelor's degree from an accredited institution.
  • Two years of customer service experience.
  • Experience working with Oracle Banner.
  • Experience working with Tk20 and Cognos.
  • Experience supporting programs approved by Oregon's Teacher Standards and Practice Commission.
  • Experience with UO and CPE registration processes and policies.
