Position Overview:

Provide secretarial and administrative support for one or several department professionals or offices. Responsible for the functioning of an office or department. Initiates and handles correspondence relating to a department or program. Performs a variety of sorting and filing tasks; answers the phone, takes messages, and disseminates information; opens, sorts, distributes, collects, and delivers mail; performs a number of tasks such as posting and recording data. Produce documents of various levels of complexity, ranging from plain copy typing to the manipulation of data to create presentations. May make contacts of a sensitive, complex, and confidential nature. Responsible for providing various services to customers such as assisting customers in securing needed information and documents. May be responsible for departmental budget; managing calendars and appointments; event and meeting planning. This general schedule of this part time position is up to 25 hours per week.

Department Specific Essential Job Functions:

Responsible for performing a variety of administrative duties. Greets and screens visitors in the reception area. Signs in and directs to proper individuals. Answers and screens incoming telephone calls; directs calls to appropriate parties or department areas or takes messages. Processes incoming and outgoing mail. Responds to routine requests for information and refers more complex requests to appropriate staff members. Resolves problems that have a significant impact on the overall goals of the department. May have contact with sensitive, complex and confidential information. May be responsible for managing calendars and appointments. Responsible for maintaining brand review email account. Responsible for maintaining and ordering office supplies. Responsible for managing signage requests. Responsible for managing open records requests. Scan and clip relevant news articles. Responsible for updating and maintaining publication distribution lists. May assist with copy editing. May assist with sending out press releases. May assist with event planning. Performs other related duties as assigned.

Qualifications

Qualifications Required:

Requires general education or vocational training or equivalent combination of education and experience.

Qualifications Preferred:

Bachelor's degree in Journalism, Communications, Public Relations or related field preferred but not required. Experience in a higher education environment preferred.
