ASSISTANT DIRECTOR OF ATHLETICS

FOR CAMPS, CONFERENCE SERVICES, and FACILITIES

 

Reports to: Associate Director

Position Type: Full-time, 11-month, exempt positions

Position Summary

The Assistant Director of Athletics for Camps, Conference Services, and Facilities (AAD) is a member of the Department of Athletics’ senior leadership team. The AAD drives revenues for the College, which in large part serves to further the growth and success of its student-athletes, teams, intercollegiate athletics through camps and conference services. The AAD is responsible for day-to-day operations and year-round logistical coordination of Menlo College external events (including athletic and academic camps). The individual is responsible for directing external marketing, rental of facilities, and scheduling/planning for both external and internal summer camps, and year-round conferences, workshops, and other events. This is a full-time, 11-month exempt position that reports to the Associate Director of Athletics & Chief Operating Officer.

Primary Responsibilities

  • Develop market research to determine opportunities to generate auxiliary revenue through camps and conference services
  • Develop and implement a comprehensive conference/camps/events marketing plan to attract external clientele to Menlo
  • Seek and develop partnerships with external clients to maximize revenue through camps and conference services
  • Develop plans, secure clients, and coordinate large-scale, high-profile events and summer conference/off-season rental opportunities that generate net revenues that meet goals established by the supervisor
  • Generate contractual agreements with external partners, and ensure all Menlo College event requirements are met, including obtaining evidence of insurance
  • Coordinate the conference and camp schedules, and assign facilities for all internal and external programs
  • Plan for and supervise parking (including, as needed, parking attendants)
  • As needed, secure Special Event Permits from the town of Atherton in advance of program launch
  • Work with campus community and external clients to schedule all conferences with the appropriate campus facilities and residences, based on date and type of program, projected number of attendees, dining service needs, and other requirements such as meeting and group spaces
  • Generate and effectively manage contracts with external partners and facility rentals
  • Coordinate with Assistant Athletic Director & Business Manager to setup and operate CashNet e-store marketplace for internal camps/clinics
  • Responsible for the day-to-day operations of the department of Camps and Conference services
  • Recruit, train, and supervise student conference staff
  • Maintain scheduling facility database and communicate with campus community when outside functions will be occurring
  • Monitor and adhere to noise and other aspects of event guidelines as dictated by the town of Atherton
  • As needed for larger events, communicate with residents of homes immediately adjacent to campus to alert them to potential noise and disruption
  • Work closely with college executive team to develop and implement policies and procedures related to conference services, assessment of health and safety, and other aspects of risk management
  • Coordinate all aspects of events and serve as main point of contact for internal and external clients
  • Communicate and resolve problems effectively and in a timely manner with event organizers
  • Foster and maintain contacts with a wide array of vendors to ensure consistent delivery of needed goods and services for conference and event programs
  • Administer space requests submitted by internal clients in coordination with other departments on campus
  • Obtain detailed information from clients about event requirements to ensure success of events
  • Work closely with the facilities staff to ensure appearance and cleanliness of the space reflects mutually agreed upon expectations
  • Serve as a liaison between the conference staff and the service/support departments to ensure success of the programs

 

Additional Responsibilities

  • Develop and implement transportation plans for department of athletics (van rental, charter busses, airline travel, etc.), while maximizing resources
  • Manage van usage and maintenance schedules
  • Work with department of facilities and operations to schedule van service schedule
  • Oversee all facets of athletics facilities management, scheduling, and coordination of maintenance to include master calendar, regular equipment and maintenance checks and inventory of related facility equipment.
  • Manage all internal facility calendars
  • Work with the Athletics Department’s Chief Revenue Officer to plan and manage internal events

 

Qualifications

  • Bachelor’s degree required, master’s degree in a related field preferred
  • Strong interpersonal, organizational, written, and oral communication skills
  • A dedication to the success of student-athletes in their academic and athletic endeavors; a commitment to integrity, general equity, and diversity are essential
  • Demonstrated experience to supervise, direct, and manage others effectively
  • Ability and willingness to work non-traditional schedules, including nights and weekends
  • Prior fund-raising experience
