The Opportunity:

Embry-Riddle Aeronautical University's Prescott Campus is currently recruiting for an Administrative Assistant and Credentialing Specialist to join the Enrollment Management team. This person will assist the Dean of Enrollment Management and the Director of Admissions by handling a variety of tasks simultaneously with minimal direction. The Administrative Assistant will also assist with monitoring a variety of account expenditures and ensuring that related expenses are charged to the proper accounts. In addition, the Administrative Assistant will monitor the Campus Visit Program, supervise its employees, and help to ensure its success as well as coordinate visits for VIP's an other campus entities. This role requires confidence in a wide range of clerical and administrative duties, independent decision making and action within prescribed guidelines. This person will need to maintain and keep organized various documents, inventory for the enrollment management team, and shipments of documents and materials for the team.

Responsibilities include the following:

Supervision of Campus Ambassador Program, including direct supervision of up to 20 student employees. This includes the management of staffing levels for the campus visit schedule during the work week, weekends and holidays. Develop Programs, Interact with the campus community to assure coordination of visits. Prepare monthly reports/statistics of number of visitors.

Assist with budget, including creating and managing all procurements and purchase orders and managing vendor relationships and processes, as well as making sure all university protocol is followed for transactions

Compose correspondence; format, type, proofread, file copies and distribute a variety of documents and reports to staff; process incoming and outgoing mail; compile data and maintain various databases and spreadsheets for the Dean of Enrollment Management and the Director of Admissions. Will handle and screen all incoming mail and phone calls.

Assist the Director of Admissions and Dean of Enrollment Management in managing schedules, scheduling meetings, reserving event and function space, dealing with vendors, etc. Manage and coordinate office meeting rooms & conference room.

Qualifications
  • High School diploma or GED and at least two years of prior administrative support experience
  • High degree of flexibility and strong organizational skills
  • Superb communications skills and a professional demeanor; enjoy working in a forward facing role with lots of customer contact
  • Must be comfortable managing multiple projects, including overseeing staffing and schedules for students who support the campus visit program
  • Strong computer skills including proficiency with Microsoft Office Suite products such as Word, Excel and Outlook
