Department Summary
The Office of the General Counsel (OGC) is a team of legal professionals who manage the legal affairs of the university. Led by the Vice President and General Counsel, there are six full-time attorneys in the office who provide timely, creative, and practical legal advice to university leadership, including the Board of Trustees, President, Provost, vice presidents, vice provosts, deans, and directors on the development and implementation of initiatives in support of the university's mission. The office is supported by the VPGC's Chief of Staff, a Senior Legal Assistant and Claims Administrator and an Executive Assistant. In everything it does, the office seeks to ensure that university leaders are well equipped to navigate higher education's complex regulatory landscape and to promote a climate of ethical behavior, integrity, and accountability.

OGC attorneys are true generalists with working knowledge and expertise in a broad array of practice areas, including labor and employment, intellectual property, civil rights, constitutional law, contracts, and real estate, to name a few, and the office is solely responsible for the comprehensive representation of the university's interests in litigation, administrative proceedings, and business transactions, including engaging outside counsel when prudent.
Position Summary
The Executive Assistant is a key member of the Office of the General Counsel's team and provides high-level, confidential administrative support to the Office of the General Counsel, including routine and complex scheduling, managing the calendar for the Vice President and other Associate General Counsels, arranging individual and group meetings, planning events/functions, and coordinating travel as needed.

The position requires a high degree of personal initiative, flexibility, attention to detail and organization, the ability to anticipate problems, accurately assess and manage multiple competing priorities, exercise good judgment, and demonstrate excellent administrative and interpersonal skills.

The Executive Assistant's responsibilities are performed independently in an environment that is extremely sensitive. This position has access to, and is responsible for maintaining, highly confidential information and materials, including information and materials covered by the attorney-client privilege and work-product doctrines, personnel, and student information, and must maintain absolute discretion and confidentiality at all times.

The Executive Assistant must exhibit professionalism, collegiality in a team environment, and the ability to create a welcoming, inclusive, accessible, and professional atmosphere in the office. This person must possess cultural humility and agility, with the ability and commitment to work with individuals from diverse backgrounds.

This position reports directly to the Assistant Vice President and Chief of Staff to the Vice President and General Counsel. This position is not eligible for remote work.
Minimum Requirements
  • Bachelor's degree or an equivalent combination of skills, education, and experience.
  • Three years' executive assistant experience to a high-level executive within a large, complex organization.
  • Currently, or able to become an Oregon Notary Public.
    Professional Competencies
  • Excellent computer and software skills, including all MS Office programs, in particular Outlook, Word, Excel, and PowerPoint, as well as Adobe Acrobat.
  • Demonstrated high-level organizational skills with the ability to prioritize effectively and manage time and stress well in a fast-paced, detail-oriented, and time-sensitive environment.
  • Possess excellent oral and written communication skills to produce correspondence, documents, reports, and presentations using impeccable grammar and proofreading skills.
  • Ability to recognize situations that warrant initiative and move forward without hesitation; resolving issues, problems, or situations; taking decisive action to facilitate the optimal use of the executive's time.
  • Ability to manage stressful, and often confidential, situations with tact and diplomacy.
  • Demonstrated commitment to maintaining confidentiality, discretion, and diplomacy.
  • Models customer service principles (listening, empathy, patience, respect, responsiveness) and contributes positively to team dynamics.
  • Demonstrated ability to exercise sound independent judgment.
  • Notable experience demonstrating equity and inclusion to enable success for people from all walks of life while sharing common, fundamental values grounded in justice, civility, and respect while looking to diversity as a source of enrichment and strength.
    Preferred Qualifications
  • Two years' experience working in a legal office.
  • Project management experience coordinating large-scale administrative projects.
  • Two years' experience at a public university in Oregon, or another institution of higher education.
