Job Summary:

The Department of Pediatrics is seeking an Administrative Supervisor to provide direct support to divisional faculty and staff. This position is responsible for the coordination of complex daily clinical, academic, supervisory, and administrative activities, as well as the coordination and organization of the faculty's communications, meeting planning, and travel.

This position will also supervise Medical Program Assistants. Primary supervisory responsibilities include oversight of workflow to ensure timely completion of diverse teaching, research, administrative and professional society activities for staff physicians and fellows. The incumbent is expected to complete regular performance evaluations and provide mentoring, training, and feedback to employees.

The responsibilities require considerable independence of planning, decision making and action often involving delegation of aspects of work to others. The incumbent is expected to utilize a considerable amount of independent initiative and judgement, exercising a high level of administrative problem solving and analytic ability. Professional communication, workplace sensitivity, and diplomacy are essential as well as excellent administrative, organizational, computer, and interpersonal skills.

Responsibilities:

Responsible for a variety of professional level work across a variety of administrative service areas including budget, finance, procurement, and human resources with impact across the institution in support of unit or institutional goals.
  • 25% Exercises supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 full-time equivalent (FTE) employees
  • 10% Implements and executes established policies and procedures for a designated work unit to adhere to unit objectives and to align with established strategies
  • 15% Schedules logistics and secures resources for a designated work unit to contribute to the day-to-day operational success
  • 10% Analyzes data and trends, compiles progress reports, and provides appropriate recommendations or conclusions in support of the assigned operational work unit(s)
  • 10% Assists, recommends, and advises staff, on unit or program administrative issues, personnel matters, and budgetary problems
  • 10% Develops, schedules, and prioritizes unit or program work plans in accordance with specifications and resource limitations
  • 5% Manages faculty calendars related to educational, clinical, administrative, and research activities, being cognizant of travel time and other deadlines. Prioritizes and schedules meetings for divisional faculty and staff.
  • 5% Assists with the preparation of the Department of Pediatrics purchasing and reimbursement procedures which include but are not limited to requisitions, direct payments, payment to individual reports, internal work orders and UW Health Fiscal forms.
  • 5% Assists physicians with research studies by compiling information and documentation. Assists with preparation of manuscripts, grant applications, abstracts, instructional material slides, etc. Provides support for special projects as requested.
  • 5% Assists division physicians with the submission of new and renewal IRB applications. Prepares and maintains biosketches, MyNCBI and CV's.

Education:

Preferred
Bachelor's Degree

Qualifications:

- One year of supervisory experience required. Three years of supervisory experience is preferred.
- Proficiency with Microsoft Office programs, email and web based applications is required.
- One or more years of experience providing administrative support in an academic medical center is preferred.
- Previous experience working in the UW System is preferred.
- Effective oral and written communication skills, independent problem solving and analytical skills, attention to detail and organization, and an outgoing and energetic service-oriented approach.
