Event Specialist



Position Summary:

The Advancement Events team at the University of Dayton is seeking a creative and talented event specialist to help us execute impactful and memorable events that serve a stewardship, development, alumni relations, or engagement purpose for the University. The Event Specialist will be responsible for managing all aspects of events for which they are assigned, from initial conception and planning, to coordination, execution and post-event follow up and analysis. Advancement events include in-person, hybrid, and/or virtual events that serve the University’s many constituencies – donors, alumni, friends, parents, students, faculty, and staff. The position reports to the Director of Advancement Events.

The ideal candidate will have demonstrated knowledge and experience in special event planning, excellent customer service skills, and is comfortable collaborating and building relationships with campus partners, advancement division colleagues and external vendors.

Minimum Qualifications:

• Associate’s degree.
• Minimum of 2 years of event planning experience.
• Highly organized and detail oriented with attention to accuracy.
• Proven ability to manage multiple events and projects simultaneously.
• Comfortable using a variety of technical resources to efficiently and effectively perform the job responsibilities.
• Valid drivers license with low risk driving record.

Preferred Qualifications:

While not everyone may possess all of the preferred qualifications, the ideal candidate will bring many of the following:

• Bachelor’s degree.
• 4 or more years of event planning experience.
• Experience working in or planning events for development, higher education, or with campaigns a plus.
• Excellent time-management skills.
• Creative thinker and experience with artistic décor and design.
• Ability to think fast on one’s feet and demonstrate flexibility, adaptability and patience.
• Strong written and oral communication skills.
• Ability to plan and work within a budget.
• Demonstrated experience building relationships with constituents, team members and external vendors in event-related environments.
• Excellent technical skills, including online event registration systems, database management software, event layout software, Excel, PowerPoint, Zoom, Google Calendar/Gmail, and Microsoft suite, and proven ability to learn new technologies as required.
• Experience with Blackthorn event registration and Salesforce a plus.
• Demonstrated and successful experience working with people from diverse backgrounds.
• Knowledge of and sensitivity to a Catholic Marianist work environment.

A federal court on December 7, 2021, issued a ruling that suspends the COVID-19 vaccine requirement that applies to federal contractors nationwide. With this development, the University will pause any enforcement action against employees who have not complied with the requirement to be fully vaccinated by Dec. 8, 2021 or to have requested an exemption to maintain their employment status.
