Position Summary:
The Assistant Director of Alumni and Parent Engagement reports to the Alumni & Parent Engagement Team Lead. In partnership with the Director of Alumni & Parent Engagement, the Assistant Director is responsible for developing volunteers and higher levels of alumni and parent engagement through affinity groups, and through helping students as they transition to alumni. This includes identification, cultivation, and engagement of key alumni affinity organizations and student groups, managing and mentoring volunteers, developing engagement plans, and implementing corresponding in-person and virtual events, meetings, programming, and volunteer stewardship. The Assistant Director also shares in the duties of officially representing the Office of Alumni and Parent Engagement at on-and-off-campus events. While staying focused on independent programs and projects, the Assistant Director will work in a team setting where responsibilities of planning and implementing initiatives involve invited guests, volunteers, other Alumni and Parent Engagement staff, and colleagues across campus.
Justification Statement
This position is responsible for interacting with and engaging alumni and friends from all Willamette University colleges as well as parents from the College of Arts & Sciences and Pacific Northwest College of Art to establish, nurture, and grow their connection to, appreciation for, and investment in the University. This work will primarily involve affinity and student-based engagement strategies.

JOB DESCRIPTION
Affinity Organization Management (50%)
- Identify, develop and support national and regional affinity
programming strategies that facilitate lifelong community-building
among alumni and our greater community.
- Oversee the execution of affinity-based programs in partnership
with WU colleagues around identity-based affinity, special
interests, young alumni, parents, ensuring these groups have
opportunities to create their own groups and activities and also
are included and engaged in overall APE programming.
- Manage volunteer identification, recruitment, training,
day-to-day management, and stewardship of affinity volunteers in
partnership with Donor Relations and other Advancement colleagues
and campus partners.
- Liaise with our alumni affinity groups (Alumni of Color,
LGBTQIA+, Bearcats in Politics, Willamette University
Sustainability Network, Bearcats in the Arts, Bearcats in
Technology) and support partnerships and collaboration with student
affinity organizations, building connections where
appropriate
- Coordinate with campus partners to develop affinity group
programming and partnerships that promote diversity and inclusion,
while also creating guidelines to hone the focus and scope of these
efforts.
- Develop a yearly calendar of programming to host robust online
and in-person affinity-based engagement opportunities in
collaboration with various campus departments like the Office of
Student Leadership and Engagement, the Office of Multicultural
Affairs, etc.
- Proactively engage with volunteers and campus partners to
identify opportunities for alumni to support student
success.
- Provide logistical support to high-impact events that connect
alumni back to Willamette.
- Input all volunteer engagement information into the database
and respond to inquiries.
- Establish goals for engagement of affinity groups, volunteering
and impact, and help to develop and implement metrics to measure
the success of programs, reporting regularly on progress toward
goals.
Student Engagement and Young Alumni Engagement Programming (30%)
- Create a comprehensive undergraduate engagement program that is
charged to help educate the student body on the importance of
life-long engagement, including philanthropic support of Willamette
(as led by members of the Annual Fund team) and the role it plays
in their everyday lives on campus.
- Create and coordinate a four-year plan for undergraduate
student engagement in the College of Arts and Sciences and Pacific
Northwest College of Art.
- Work with campus partners to identify potential volunteers and
to develop collaborative partnerships with programs and
communications that will reinforce the message and value of
lifelong involvement with Willamette.
- Manage the recruitment, training, motivation, and support of
student volunteers to create annual plans, activities, and programs
with their peers to raise awareness, promote long-term engagement
and participation with alumni, and strengthen relationships with
the University as a whole. Meet regularly with these student groups
to continue their support, manage student expectations, and ensure
that they are working towards the goals of UR.
- Works closely with other Advancement staff focused on student
engagement.
Alumni Board Committee Support (10%)
- Provide staff support for the Alumni Board Affinity
committee.
- Affinity Committee
- Provide orientation to new committee chair(s) and
members.
- Develop annual and long-range goals for committee in
partnership with committee chair(s).
- Reports regularly to the Senior Associate Director of Alumni
& Parent Engagement about committee goals and progress toward
goals.
- Maintains committee documentation and ensures appropriate data
is recorded in corresponding systems, such as Razor's
Edge.
- Provide orientation to new committee chair(s) and
members.
- Affinity Committee
Virtual Programming (5%)
- Identify and develop WU Stream segments relevant to affinity,
regional, and student engagement as needed.
- Steward guests and participants in virtual programs with
appropriate appreciation and explanation of impact.
Other (5%)
- Represents Willamette as needed at campus and regional events;
occasionally visits alumni to identify, cultivate and recruit
volunteers.
- Other duties as assigned.
POSITION QUALIFICATIONS
SKILLS & ABILITIES
- Any combination of education, training, and experience that
provides the required knowledge, skills, and abilities to perform
the essential functions of the position.
- A minimum of one year of related work experience.
- A demonstrated excitement and interest in helping to expand
affinity and student-based engagement and related programs.
Demonstrated experience in volunteer recruitment and management is
preferred.
- Demonstrated ability to effectively motivate, train, and
support volunteers and colleagues.
- Personal proactive initiative and an ability to manage projects
simultaneously, set priorities, and follow through on
projects.
- An appreciation for and understanding of the value of a liberal
arts education and the ability to effectively communicate the
value, message, and brand of Willamette University.
- Excellent oral and written communication skills. Strong
writing, revising, editing, and proofreading skills.
- Comfortable presenting and hosting events in-person and
virtually with experience presenting in front of small-to-large
size audiences while cultivating presentation/hosting styles that
resonate with our various audiences.
- Demonstrated success in work organization, including program,
project, and time management.
- Excellent interpersonal skills and a strong customer service
orientation.
- Proficient in Microsoft Office Suite, Google Suite, Zoom, and
other virtual meeting and engagement platforms, knowledge of modern
data management practices and techniques including data-based
computerized information systems, data modeling, and models of
analysis that leads to effective decision making on behalf of the
program.
- Ability to maintain a high standard of accuracy and quality
under the pressure of deadlines and with a high level of
professionalism.
- Able to maintain confidential information, navigate
relationships with finesse, and work to the highest ethical
standards as outlined by the Council for Advancement and Support of
Education (CASE).
- Proven ability to work independently as well as the ability to
work effectively and collaboratively in a team environment with a
diverse mix of deans, faculty, alumni, parents, students, and
staff.
- Ability to set collaborative goals and see projects to
completion in reflection of goals.
- Willingness to work evenings, weekends, and travel.
- Must possess a valid Oregon driver's license and have a
satisfactory driving record.
- Successful clearance of criminal conviction record
check.
