Special Assistant & Project Manager

About the Opportunity

This position will work closely with the Senior Associate Dean of the College of Professional Studies, along with the their leadership team, on projects and other significant college initiatives. The position will serve on the Senior Associate Dean's senior leadership team and will attend meetings with direct reports, manage agendas and follow up actions on outstanding projects and events. The position will also project manage various projects, strategic activities, and committees on behalf of the Senior Associate Dean, and may, at times, draft correspondence, articles, nominations and awards. This position will help with administrative functions for the Senior Associate Dean, include overseeing transactional activities - calendaring, coordinate travel, and assisting with Concur.

Key Responsibilities:

50% Project Management
  • Manage special projects and assignments to include triaging project challenges and escalating barriers. Understands and is sensitive to group dynamics and political nature of special projects undertakings.
  • In support of special projects, conducts research and compiles data, identifies specific tasks, tracks and reports progress against project plan.
  • Provides support for the strategic planning process and goal setting, advances and monitors progress on the organization's initiatives.
  • Identify complimenting projects and advises organization on potential efficiencies.
  • Prepares draft communications and special messaging as required, proofreads documents, and coordinates the production of various reports to achieve the maximum impact in reaching the intended audiences.


40% Activities Management
  • Manages and coordinates a high volume of demands for the leader's time by prioritizing requests and demonstrating significant independent judgment in identifying and resolving potential conflicts.
  • Uses diplomacy to respond quickly and efficiently to schedule changes.
  • Anticipate needs by independently soliciting and providing necessary back-up and research materials in a timely way to ensure leader is well-prepared for all meetings, events, and speaking engagements.
  • Makes travel arrangements for the team, including complex international travel, prepares itinerary and event information, and tracks and completes all expense reports in a timely manner.
  • Coordinates events, receptions, and staff retreats.


10% Office Management
  • Serve as point of contact for any special administrative task requests by department and delegate out to appropriate team member
  • Provides administrative oversight and operational supervision for office support staff, including hiring, supervision, and evaluation, if applicable.
  • Ensures adequate staff coverage for the office, including coordinating student worker and intern schedules.
  • Provide ongoing coaching and mentoring to the administrative professionals.

Qualifications:

BS degree with a minimum of 5-7-year work experience, preferably in an education setting and supporting strategic projects, initiatives, and activities. Individual must have strong organizational and communication skills, including writing skills. Must be able to coordinate teams for planning and execution of high-quality project work and oversight. Must have exceptional analytical capacity, discretion and experience handling highly confidential information, the ability to work effectively and efficiently under pressure while maintaining a high level of professionalism.
