Administrative Assistant - Arts and Sciences Dean’s Office

Drew University seeks a highly motivated and professional Administrative Assistant in Arts and Science to provide administrative support to the Arts and Sciences Dean’s Office as well as several academic departments. Reporting to the Dean of Arts and Sciences, the Assistant will join a collaborative team that supports faculty and students in the College of Liberal Arts and Caspersen School of Graduate Studies. The Assistant will manage events, coordinate projects, and set the tone for communication and customer service in the Dean’s office. Strong organizational and communication skills are required.

The Administrative Assistant’s responsibilities include supporting the daily operations in Arts and Sciences:
  • Greet visitors and ensure reception area creates a welcoming environment;
  • Respond in a timely manner to requests for information and refer to other resources as appropriate; must provide accurate information on academic policies and procedures;
  • Manage calendars, contacts, correspondence and ensure efficient execution of administrative procedures and processes central to the departments and programs;
  • Support the Arts & Sciences curriculum committee by attending weekly meetings, maintaining records and agendas and assisting with committee-related communication and scheduling;
  • Assist the Arts & Sciences assessment committee by collecting, organizing and monitoring document submissions.
  • Maintain adequate office supplies and other materials required for the operation of the dean’s office and academic departments;
  • Support departmental and programmatic events, including room scheduling, advertising, communications and service requests, as required;
  • Perform other duties as assigned by the Dean of Arts and Science.
This is a full-time, 12-month position beginning August 2022.

Qualifications:

Bachelor’s degree is required and/or a combination of education and experience which demonstrates knowledge and understanding of office administration, work organization, collaboration, and report writing.

  • Excellent written and oral communication skills.
  • Sensitivity to cultural diversity and ability to communicate and interact effectively with faculty, staff and students.
  • Project management, organizational skills and keen attention to detail.
  • Proven ability to work effectively as a team player; highly motivated, focused, self-initiating, and results oriented.
  • Ability to exercise discretion and tact in interpersonal contacts, and to maintain confidentiality at all times.
  • Ability to manage multiple tasks according to required deadlines.
  • Proficiency with Microsoft Excel and Word, Google Workspace, and Zoom.
