Job Summary:

The Office of the Deputy Vice Chancellor for Diversity & Inclusion and Vice Provost and Chief Diversity Officer (DVCDI/VPCDO) is seeking an Executive Assistant to provide advanced administrative support to the office and the Chief of Staff. This newly created position will report directly to the DVCDI/VPCDO's Chief of Staff and Senior Operations Officer (CoS /SOO) and will be responsible for effectively managing calendars, meeting requests, travel logistics, and preparatory materials. This role manages correspondence and communications from a wide range of stakeholders. The Executive Assistant is also responsible for administrative, project, and research support for a variety of initiatives in the Office of the DVCDI/VPCDO.

Overview:
The Deputy Vice Chancellor for Diversity & Inclusion and Vice Provost and Chief Diversity Officer (DVCDI/VPCDO) at the University of Wisconsin-Madison provides overall leadership for the university's efforts to create a diverse, equitable and inclusive learning and working environment for all students, faculty, staff, alumni and others who work with the university. The DVCDI/VPCDO also serves as the Elzie Higginbottom director of the Division of Diversity, Equity & Educational Achievement (DDEEA).

About the Division of Diversity, Equity, and Educational Achievement (DDEEA)
Under the direction of the DVCDI/VPCDO, the Division of Diversity, Equity & Educational Achievement (DDEEA) supports the mission of the University of Wisconsin-Madison as it works to create a diverse, inclusive, and excellent learning and work environment for all students, faculty, staff, alumni, and partners at the university. The DDEEA's priorities are to increase access for underrepresented minorities in STEM; eliminate the achievement gap between majority and underrepresented students; recruit and retain a more diverse faculty and staff; prepare all of our students, staff, and faculty to thrive personally and professionally in a world that is diverse, global and interconnected; and enhance the campus climate for inclusion to ensure every constituent knows they belong. The DDEEA is comprised of administrative, education, scholarship and service programs whose work overlaps with the core values of community, inclusion, organizational excellence, transparency, accountability, and social justice. The DDEEA uses collaboration, leadership and seeding of new initiatives, consultative advice, and the coordination of numerous institutional efforts to support campus, Wisconsin, and the world.

Responsibilities:

Provides administrative support to leadership in a college or division of the institution in support of unit goals. Utilizes discretion and operates with minimal supervision.
  • 25% Schedules logistics for meetings, conferences, and travel and organizes schedules for a college or division leadership position
  • 20% Compiles, screens, and evaluates correspondence and reports and recommends actions
  • 20% Develops and facilitates communications of varying complexity between various internal and external stakeholders
  • 15% Manages the organization, auditing, security, and confidentiality of records and files
  • 15% Monitors budgets and reviews and approves expenditures
  • 5% Point of contact for onboarding/offboarding of divisional leaders.

Qualifications:

Required:
- 2-3 years of related experience (e.g., administration, operations).
- At least 5 years of experience working in higher education, or similar large complex organization.
- Excellent organizational, oral, and written communication skills, with attention to detail at all times.
- Ability to effectively handle multiple tasks/responsibilities. Independently coordinate and triage diverse activities in a busy office environment.
- Ability to exercise independent judgment, setting priorities and meeting the demands of the position.
- Discretion and tact to handle sensitive issues and maintain confidentiality.
- Excellent computer skills, including word processing, spreadsheets, calendars, and database management. Skilled in formatting and proofreading documents. Accurate and efficient typing and data entry skills.
- Strong interpersonal skills to establish trust and mutual respect when interacting with others. Ability to maintain good working relationships with the DVCDI/VPCDO, leadership team, coworkers, faculty, staff, students, and the public.
- Cultural competence and support for the principles of equity, diversity, and inclusion.

Preferred:
- Professional experience supporting an executive or leadership role.
