Job Summary

The role of Director of Administrative Services is to manage the operations of the Office of the Vice Dean by providing strong financial, human resource management, operational, organizational, and project management skills.

Essential Functions

Financial Management
  • Plan, monitor, and manage the departmental budget to ensure achievement of operational and financial goals in the implementation of a high-quality medical education program
  • Responsible for accurate assignment of income and expenses according to Department Cost Centers
  • Provide office divisions with accurate budget reports quarterly
  • Approve financial transactions including purchase orders, credit card charges, check requests, cash reimbursements, journal entries, budget transfers, check deposits, invoices, budget addendums, funding transfers, payroll corrections, effort certifications, etc
  • Has signature authority for all departmental accounts
  • Manage reimbursement to departments for teaching activities
  • Handle all pre-and post- sponsored research activities including submission of letters of intent, grant proposals, communication with sponsors, financial reporting, and closeouts
  • Responds to requests for financial and statistical information received from College of Medicine and University departments and participate in internal audits
  • Meets regularly with Vice Dean regarding budget and financial performance and personnel issues
Human Resources
  • Oversee personnel management including recruiting, hiring, terminations, promotions, personnel issues, payroll, and merit increases for 86 faculty and staff within the office.
  • Supervise two administrative staff members
  • Oversee and manage funds and records of faculty and staff travel and continuing education activities for the department
  • Approve electronic personnel forms, PAF's (Position Appointment Forms) and maintain files on all professional staff, faculty, adjunct faculty, casual employees, and student employees for compensation and resolve all payroll issues
  • Work closely with the college of medicine HR business partner on all HR issues
Other
  • Work closely with OEA division leaders on budget, financial, HR and operations issues
  • Work with the Office of Registrar and Office of Student Affairs to maintain proper student disability insurance coverage for students
  • Organize and plan departmental events and functions
  • Special projects as assignment by Vice Dean
Required Qualifications
  • Bachelor’s Degree in Business or Health care
  • Five years of experience in a medical school department administration
  • Proficiency with budget and financial management
  • Effective communication and organization skills
  • Proficiency in business software applications including Excel, Word, and PowerPoint
Preferred Qualifications
  • MBA preferred
