Summary
This position provides administrative support for the Chair of the VCU Department of Health Administration, the CHP Senior Associate Dean for Research and Strategic Initiatives, and performs general day-to-day department administrative duties. The person in this role is responsible for the following:
- Manages time sensitive matters that require problem solving and confidentiality.
- Drafts and prepares correspondence, presentation materials, and reports on the Chair's behalf.
- Manages acknowledgement process for fund development.
- Prioritizes schedule to ensure deadlines are met and adapts to meet changing needs.
- Coordinates department, committee and advisory council meetings; prepares agendas and minutes.
- Makes routine decisions using discretion and judgment and shows initiative with minimal outside direction.
- Handles telephone calls and requests, mail services, office supplies, and other general office duties.
- Prepares and processes travel and other expense authorizations, reimbursements, registrations, and accommodations.
- Assists in planning and executing internal and alumni Department events.
- Provides staff support for Promotion & Tenure and faculty search processes and associated committees.
- Works with Dean’s office staff to update department website and manage department social media accounts.
- Supports student and program activities as needed.
- Must be highly organized, detail oriented, and willing to work as part of a collaborative team.
- Demonstrated excellence in written and verbal communication.
- Demonstrated ability to work on multiple projects simultaneously and maintain confidentiality.
- Excellent ability to prioritize tasks, manage them in an orderly manner and maintain flexibility to address additional tasks as they arise.
- Demonstrated proficiency with Google Apps, including Docs, Sheets, Slides, and Calendar, as well as other common office software and hardware.
- Demonstrated experience working in and fostering a diverse faculty, staff and student environment or commitment to do so as a staff member at VCU.
- Bachelor’s degree from an accredited institution of higher learning, or equivalent education and experience.
- 1-2 years of experience working in a professional office environment.
- 3+ years of experience working in a professional office environment within the higher education sector.
- Experience supporting academic institutional leadership, such as a department chair or associate dean.
- Knowledge of university systems, policies, procedures, and organizational structures.
- Master’s degree from an accredited institution of higher learning, or equivalent education and experience.
