Under the supervision of the Assistant Director of Housing Operations, the Housing Operations Coordinator will assist with creating and maintaining processes and projects related to the housing application process, assignments, and billing for academic year and summer housing/conferences.  Responsibilities include administrative tasks and operational functions associated with the management of the residence halls such as: openings, closings, room assignments and selection.

Essential Functions: 

  • Oversee the management and implementation of all housing programs including academic year housing, break period housing, and summer housing/ conferences.
  • Reconcile student billing accounts, perform data entry, assign rooms through booking, and organize student room requests for a 12-month housing program.
  • Organize and implement room inventory procedure.
  • Plan, promote and implement various processes including application procedures and room selection.
  • Provide information to students, parents and/or other departments within the College on established policies and procedures related to housing operations and occupancy.
  • Communicate effectively with parents and other departments within the college.
  • Assist with the coordination of operations and facilities management, maintenance, and other related programs as needed.
  • Learn and utilize the various technologies and programs used to manage housing and student data appropriately and efficiently.
  • Assist in training personnel in computer programs used by the department.
  • Provide input in resolving technical issues that arise with all software used by the department.
  • Contribute to establishing a workflow to address future improvements to current systems.
  • Support and implement system changes related to housing and operations.
  • Report on statistical data as needed by the department and develop and process reports as assigned.
  • Manage and assist with the evaluation of programs as assigned, making recommendations for development and improvement, and contribute to initiatives to strengthen the growth and enhancements of office initiatives.
  • Assist with the development and compilation of written communication and promotional literature.  Coordinate processes from development through printing and distribution. 
  • Work collaboratively with operations colleagues and staff throughout the department to ensure effective implementation of policies and procedures.
  • Assist with new department-wide efforts to develop efficient and effective programming approaches to promote services provided by Residential Life.
  • Assist in student staff and professional staff training on a variety of topics, including housing and operations.
  • Serve on departmental committees and participate in special initiatives and projects.
  • Participate in departmental training and development opportunities.
  • Seek professional growth and development and maintain awareness of critical issues and trends within housing operations.

REQUIREMENTS:

Minimum Qualifications:

  • Bachelor's degree in education, student affairs or related field.

Preferred Qualifications:

  • Master's degree in education, student affairs or related field.
  • 2- 4 years of experience working in residence life or related student affairs area at the paraprofessional or professional level. Additional years of experience may be considered in lieu of advanced degree.

Preferred Knowledge, Skills and Abilities:

  • Prior experience in data management and software maintenance preferred.
  • Excellent project management skills and the ability to work independently, adhere to strict timelines, propose and implement effective alternative solutions for difficult issues.
  • Candidate must be proficient in Microsoft Word, PowerPoint, Excel, and Outlook and have knowledgeable of both Windows and Mac operating systems.
  • Ability to work with a diverse and creative student population and a commitment to those values.
  • The successful applicant will be customer service oriented, imaginative and resourceful, and must be able to work independently and as part of a closely-knit team.
  • The candidate must possess effective written and verbal communication skills and communicate effectively with a range of stakeholders.
  • Knowledge of trends and issues in housing operations and involvement in professional associations strongly preferred.
  • Positive attitude and excitement toward work. Ability to take initiative, work  independently, and be a strong team member. The ideal candidate must have strong  communication skills and be able to exercise sound judgment. A good sense of humor  and a desire to laugh often are highly valued.

ADDITIONAL INFORMATION:

The Housing Operations Coordinator is an essential personnel position and the following will be required:

  • Office hours; evening and weekend commitments will be required to fulfill duties of the position from time to time.
  • Essential personnel; report to work/remain at work even if classes are canceled, and/or the campus is working on limited operations in an emergency.

Days/Hours: M-F, 9am-5pm, in person; some weekends, work schedule subject to change based on needs of the department.

Hiring Salary: $65,000.00 per year
