Job Description:

Reporting to the Associate Dean for Law Student Affairs, the Director of Law Records is a key player planning, implementing, and managing delivery of registrar services and student academic information within the Law School. The Director is responsible for assisting students, faculty, administrators, and the general population with a variety of inquiries regarding academic offerings and scheduling as well as administrative rules and procedures. The Director administers functions such as class registration, grading, academic record maintenance, and classroom assignments for the Law School.

Essential Functions:
  • Provides oversight to the Law School on all matters academic in nature (scheduling classes, the academic calendar, degree requirements, law school policies, transfer evaluations, etc). Develops, interprets and enforces academic policies. Remains abreast of issues and events in the broader arena of Law education and acts as an expert consult for standard concepts, practices, and procedures within Law School records and registration offices. Adheres to the AACRAO Principles of Professional Ethics and Practice.

  • Shares responsibility with the Associate Deans in matters of reporting (e.g. ABA, U.S. News) and in student matters pertaining to exam accommodations/adjustments, spaces for exams, and mid-term exams.

  • Plans and manages the course registration process by: maintaining and posting the course schedule and updating as necessary; Inputting the course schedule into the student registration system; Ensuring accuracy of prerequisites, meeting times, section capacity, rules; Creating student registration priorities and monitoring; Advising students regarding registration policies and procedures; Managing the wait list processes; Communicating with students any changes, updates and requirements.

  • Supervises the examination and grading process by: Preparing the exam schedule each semester; Overseeing examination retention and destruction, in accordance with established policies, regulations, and guidelines; Assisting faculty members with exam administration and printing answers; Managing submission, processing, recording, and changes for all Law student grades; Tabulating academic and graduation honors listings; Monitor faculty adherence to the grading policies and rules of the law school; Preparing final semester and cumulative grades point averages for all law students each semester; Preparing class rankings and grade distribution report each semester.

  • Maintains the confidentiality of all law student records, including the supervision of matters relating to student compliance with academic regulations, residence requirements, graduation, registration, exams, courses, matriculation, degree applications, etc.

  • Oversees compilation, recording, verification, and dissemination of data related to student enrollment, curriculum, academic progress, grades, and bar pass rates for the Law School.

  • Monitors student academic standings (includes the Academic Success Program); certifies completion of graduation requirements and eligibility for bar examinations.

  • Manages and maintains the Law Records website and systems for the law school, including: Workday (students, registration, updating course offerings, faculty, testing), Acalog (law catalog), Student Services (registration, degree audit, courses, testing), Informer reporting (queries databases for reports as needed), and 25Live Room Reservation system (course meeting times). Collaborates with University Registrar staff to ensure Law School information is accurately reflected where necessary on the University Registrar website. Maintains and edits the Law School academic catalog. Prepares new catalog listings for Law School offerings. Includes the responsibility for training as appropriate.

  • Manages and assigns all room assignments for law classes and is the custodian of keys for offices/spaces in Sydney Lewis Hall and for locks on desks, credenzas, file cabinets, etc. Responsible for making sure all keys handed out are returned. Works with Facilities on key matters.

  • Understands Law student data management. Creates Workday reports and runs ad hoc queries, as needed.

  • Assist Associate Dean for Law Student Affairs with the annual journal write-on process.

  • Assists with general University Registrar functions as they pertain to the Law student population, such as responding to public inquiries; data entry and processing; web, electronic, and paper information maintenance and correspondence; academic calendar events and deadlines; coordinating procedures and documentation; certain commencement events; and process evaluation and improvement.

  • Represents the University at professional networking opportunities at the state and regional levels, and seeks to uphold best practices within the field.

  • Performs additional duties as assigned.

Work Schedule: 8:30am-4:30pm - Work on occasional nights and weekends required.

Minimum Pay: $63,194 - Pay Commensurate with Experience

Minimum Qualifications: Bachelor’s degree and five years of progressively responsible job-related experience, or an equivalent combination of education and experience required. Experience in higher education preferred, with demonstrated success working directly with students, a proven work ethic, and superior attention to detail. Ability to interpret academic policies and procedures, confidentiality requirements, grading and credit requirements, and degree requirements. Proficiency in technology required for intra- and inter-office support (e.g., Workday, Microsoft Office suite including Publisher and PowerPoint) or demonstrated willingness and ability to learn and master new systems and software.

Must possess the highest degree of integrity and maturity due to the sensitive, often-confidential nature of students' education records and faculty and staff interactions. Must have strong organizational skills, with the ability to work independently and collaboratively, and to effectively balance multiple tasks and responsibilities in parallel, maintaining attention to detail. The position requires excellent oral, written and customer service skills, and ability to work pleasantly and professionally with diverse and varied constituencies – students, faculty, alumni, parents, and co-workers. Ability to work with a team of functional and technical staff to manage, test, and improve system processes. Duties must be performed in person; the position is not suitable for remote work.

  • Fingering: Picking, pinching, typing or otherwise working, primarily with fingers rather than with whole hand or arm as in handling.

Working Conditions: The worker is not substantially exposed to adverse environmental conditions.

Types of Work: Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
