Position Summary:

The VCU College of Health Professions invites candidates to apply for the Administrative Coordinator position within the Dean's Office. The Administrative Coordinator reports to and provides clerical and administrative support for the Associate Dean for Academic Affairs and Student Success, utilizing available resources of the University and Health System. This position acts as the receptionist and provides operational support for the College of Health Professions Dean's Office. The Administrative Coordinator must provide exceptional office and administrative support for visitors, students, staff, and faculty. This position resolves most standard issues independently, while referring complex or unique issues to the Associate Deans for Academic Affairs and Student Success.

Position general responsibilities include:
  • Typing memos, correspondence, and reports; serving as administrative support to the Associate Dean for Academic Affairs and Student Success
  • The department receptionist; assisting with calendar maintenance and scheduling appointments;
  • Responding to customer inquiries in person, online and via telephone in a timely and respectful manner by practicing first call resolution, preventing call escalation, and adhering to service procedures and guidelines;
  • Directing visitors and incoming calls to appropriate offices and departments; serving as administrative support to the Associate Dean of Academic Affairs and Student Success; retrieving and delivering incoming and outgoing office mail.
  • Assisting staff with event coordination and set up; maintaining personnel contact information and updating employee distribution lists; taking minutes at meetings; etc.
Minimum Hiring Standards
  • High School Diploma or equivalent
  • Demonstrated ability to interact with multiple and varied customers in a professional and respectful manner
  • Demonstrated ability to respond professionally and congenially to emails and phone inquiries from current/prospective students, alumni, faculty, staff, and visitors
  • Exceptional positive service-oriented customer service skills, along with the ability to prioritize work, handle multiple tasks and meet deadlines is required
  • Excellent verbal, written, and interpersonal communication skills
  • Ability to maintain confidentiality and professionalism in an office environment
  • Proficiency in Microsoft Office Suite and Google Drive
  • Experience using a wide array of office machines/technologies
  • Ability to exercise judgment, appreciate diversity, and respect differences
  • Excellent attention to detail and exceptional analytical, problem solving, organizational, and proofreading skills
  • Demonstrated experience or high potential for fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU
Preferred Hiring Standards
  • 2-3 years of work experience in an administrative/office support position
  • Graduation from an accredited college or university with a Bachelor’s degree
  • Experience in a higher education environment
Salary Range: $30,000 - $40,800
